Administrative Specialist I

Huntsville, AL or Tampa, FL


Position Summary:

The Administrative Specialist I provides comprehensive administrative support to program leadership and Program Management Office (PMO) staff, ensuring smooth day-to-day operations.


Position Responsibilities:

  • Provide general administrative support to the Program Manager, Deputy Program Manager, and PMO staff.
  • Manage calendars, schedule meetings, prepare agendas, and track action items to ensure timely follow-up.
  • Coordinate onboarding logistics including orientation scheduling, welcome packets, and start-day coordination.
  • Maintain program distribution lists, organizational charts, and contact rosters.
  • Prepare correspondence, memos, and routine reports as directed by program leadership.
  • Serve as the primary intake point for administrative requests submitted to the PMO.
  • Track required documentation and ensure timely submission to relevant stakeholders.
  • Support general office operations and provide backup administrative coverage as needed.

Required Skills and Experience:

  • High school diploma or GED required; Associate's or Bachelor's degree preferred.
  • Minimum of 2 years of administrative support experience, preferably in a federal contractor or professional services environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint).
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.

Desired Skills and Experience (if applicable):

  • Experience supporting PMOs or other federal contract programs.
  • Familiarity with onboarding processes and HRIS systems.
  • Experience with SharePoint, Microsoft Teams, or similar collaboration platforms.
