Job description

The Event Coordinator for University Events Office is responsible for overseeing the planning, coordination and execution for all events at Liberty University. This role oversees the event logistics, facility scheduling, customer support, and onsite support to ensure high-quality experiences that align with institutional standards. The Event Coordinator is responsible for meeting with their customers to assist with logistical planning for events, including creating event layouts, events and adhering to facility safety standards. The event coordinator serves as primary liaison between the university and outside organizations and individuals.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Develop and cultivate relationships with on-campus and external customers.
  • Oversee scheduling, logistical planning, and special resource coordination for all academic and departmental customers.
  • Develop event plans, timelines, layouts, and logistical documentation based on client needs and facility capabilities.
  • Maintain accurate records of event requests, including scheduling forms, event contracts and surveys.
  • Assist with logistical management of Liberty University's summer camp programming.
  • Ensure all events adhere to university policies, local regulations, safety protocols, and legal requirements.
  • Assist with facility management and operations of the Champion Center, Summer Camps & Conferences, Liberty Mountain Conference Center, and Weddings @ LU programming.
  • Remain abreast of all events held on Liberty University campus.
  • Strictly adheres to Liberty University policies, representing the University in an exemplary manner.
  • Works effectively as a team member, embracing and fostering LU's Christian model and Mission - Training Champions for Christ.
Senior Event Coordinator
  • Lead the planning and execution of complex, high-impact events including conferences, athletic events, ceremonies, special programs and VIP functions.
  • Assist with data collection, reporting, and assessment metrics related to event materials and event services for client satisfaction.
  • Conduct pre-event planning meetings and post-event evaluations to ensure continuous improvement.
  • Provides guidance, training and mentorship to Event Coordinators and support staff.
  • Assist leadership with onboarding and training initiatives for new staff.
  • Contribute to development and improvement of event management processes, procedures and service standards.

SUPERVISORY RESPONSIBILITIES

Event Coordinator
  • Minimal supervisory responsibilities.
Senior Event Coordinator
  • Supervise 10-15 student workers, CSER staff, and all interns staff.
  • Lead divisional team operations and task items.
  • Assist with onboarding and training for new team members.
  • Oversee complex and high impact events and logistics.

QUALIFICATIONS AND CREDENTIALS

Education and Experience
  • Four-year college degree in business, event management or sport management or professional work experience preferred. Well-developed interpersonal communications skills and familiar with standard Microsoft Office computer software. Have knowledge and experience coordinating and organizing events, summer programing and or managing facilities.

  • To obtain LU-approved driver certification, individuals must be 21 years of age or older, possess a valid driver's license with a minimum of five (5) years of documented driving history, and maintain a clean driving record.

  • The working environment in which one will typically perform the essential functions of this position is within merchant business environment and climate-controlled office setting. It is well lit, and noise level is moderate.
Driving Requirements

Use of one's personal vehicle (or LU vehicles) is required for travel in the performance of the essential functions of this position. Proof of a valid Virginia driver's license, an acceptable DMV record, and liability insurance is required.
