Job description

Job Title: Visit Experience Coordinator
Department: Admissions
Location: Graceland University, Lamoni, Iowa
Reports to: Executive Director of Admissions

Overview:ย 

Graceland University is seeking an energetic, detail-oriented, and highly personable Visit Experience Coordinator to lead the execution and experience of campus visits for admissions. This role is central to shaping how prospective students and families experience, view, and connect with Graceland, ensuring every visit is personalized, seamless, and impactful.

Rooted in admissions' commitment to unreasonable hospitality, the Visit Experience Coordinator delivers individualized visit experiences that foster connection, belonging, and confidence in the college decision process. This position plays a critical role in supporting enrollment growth by maximizing the effectiveness of campus visits and events.

Working closely with the Director of Admissions Engagement and Events and the admissions team, this role ensures that every interaction reflects Graceland's student-centered culture and commitment to transformative education.ย 

This is a full-time, on-campus position located in Lamoni, Iowa.

Key Responsibilities:

  1. Lead Campus Visit Experience Execution
    • Deliver individualized campus visits that are personalized, engaging, and aligned with student interestsย 
    • Serve as the primary host and storyteller, effectively communicating the Graceland experienceย 
    • Create welcoming, high-impact visit days that reflect a strong sense of belonging and hospitalityย 
  2. Coordinate Visit Logistics & Operations
    • Execute the full visit lifecycle, including pre-visit communication, day-of coordination, and post-visit follow-upย 
    • Assist coordination of meetings with faculty, coaches, staff, and student ambassadors to ensure a seamless experienceย 
    • Assist maintaining the admissions visit and events calendar with accuracy and attention to detailย 
    • Support logistics for group visit days, open houses, and admitted student eventsย 
  3. Support Events & Recruitment Engagement
    • Assist in planning and executing on-campus and off-campus recruitment events, including college fairs and community eventsย 
    • Represent Graceland University at recruitment events, building relationships with prospective students and familiesย 
    • Support event setup, execution, and follow-up, ensuring high-quality experiences across all touchpointsย 
  4. Enhance Visit Strategy & Outcomes
    • Collaborate with admissions staff to tailor visit experiences to student interests and recruitment goalsย 
    • Track visit engagement and assist in evaluating visit effectiveness to improve conversion and yieldย 
    • Assist the Director of Admissions Engagement and Events in identifying opportunities to improve visit flow, communication, and overall experience qualityย 
  5. Support Systems & Data Management
    • Assist with visit scheduling, event setup, and communication workflows in Slate CRMย 
    • Maintain accurate records of visit attendance and engagementย 
    • Support reporting and data tracking related to visit and event performanceย 
  6. Collaborate Across Campus
    • Partner with faculty, visual and performing arts, athletics, student life, and campus partners to deliver coordinated and meaningful visit experiencesย 
    • Contribute to a welcoming, student-centered environment that reflects Graceland's values and mission

Qualifications:

  • Bachelor's degree preferred
  • Experience in admissions, student engagement, customer service, hospitality, or event coordination preferred
  • Strong verbal and written communication skills, with the ability to connect authentically with prospective students and families
  • Outgoing, personable, and energetic presence with a passion for creating exceptional visit experiences
  • Demonstrated involvement as a student leader, ambassador, athlete, visual or performing artist, or campus organization member strongly preferred
  • Familiarity with Graceland University's culture, programs, and student experience preferred
  • Highly detail-oriented with strong organizational and time management skills
  • Ability to manage multiple priorities, adapt quickly, and thrive in a fast-paced, dynamic environment
  • Demonstrated flexibility and problem-solving skills, with the ability to respond effectively to last-minute changes and urgent needs
  • Ability to work both independently and collaboratively in a team-oriented environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with CRM systems (e.g., Slate) preferred
  • Valid driver's license required
