Job description

MISSION

The mission of Ravenswood Family Health Network (RFHN) is to improve the health of the community by providing culturally sensitive, integrated primary and preventative health care to all, regardless of ability to pay or immigration status, and collaborating with community partners to address the social determinants of health.

POSITION SUMMARY

Under the general direction of the Fundraising & Marketing Supervisor, the Development Program Assistant is responsible for providing support to Ravenswood Family Health Network (RFHN) in the following areas: fundraising campaigns and events; branding, marketing and communications; relationship management and customer service; and grant support as needed.

DUTIES AND RESPONSIBILITIES

To be performed in accordance with RFHN Policies and Procedures

Fundraising Campaigns & Events

  1. Assists with fundraising campaigns:
    1. Assists with brainstorming ideas for marketing strategies, drafting patient story content, creating newsletter calendars, creating social media calendars, editing mailers and newsletters.
    2. Helps maintain campaign timelines, project plans, and production schedules for direct mail, email, social media, digital advertising, etc.
    3. Enters donation data on Salesforce.
    4. Assists with coordinating with vendors, printers, videographers, and graphic designers.

  3. executing the event plan and timeline, which includes obtaining sponsorships, working with vendors, recruiting staff volunteers, and organizing event logistics, etc.

Salesforce & Donor Database

  1. Maintains donation records in Salesforce, ensuring data accuracy and completeness.
  2. Assists with donor acknowledgments, gift processing, and data cleanup projects.
  3. Supports mailing list segmentation and management for fundraising appeals and communications.

Collecting Marketing Material

  1. Supports the CEO, Development Director, Fundraising & Marketing Supervisor, and other RFHN staff to produce written and multi-media stories and articles for offline (TV, radio, print, etc.) and online (website, email, social media, etc.) channels. This includes assisting with editing photos, videos, and multimedia content.
  2. Coordinates with staff and patients to capture photos of health services and programs across all clinic sites on a monthly basis for marketing materials and grant deliverables.
  3. Maintains and organizes RFHN's photo, video, and digital asset library to ensure materials are current, accessible, and available for fundraising, marketing, grant, and organizational needs.

Updating & Distributing Marketing Content

  1. Assists with developing, updating, and distributing major publications and materials such as annual reports, print newsletters, press releases, brochures, marketing collateral, presentations, and handouts for a broad range of internal (staff, board members, etc.) and external (funders, donors, patients, news media, public officials, etc.) audiences.
  2. Assists with email marketing campaigns through platforms such as Mailchimp.
  3. Assists with maintaining and updating RFHN website content through WordPress and Elementor, including provider biographies, patient stories, campaign pages, and donation-related content.
  4. Uses Canva and Hootsuite to help grow RFHN's social media presence by producing and scheduling high-quality, consistent content across all of RFHN's social media platforms.
  5. Provides support in researching, testing, and potentially implementing AI tools to automate certain administrative tasks, maximize the reach of fundraising campaigns, etc.

Administrative Support, Relationship Management & Customer Service

  1. Create Thank You letters to donors in a timely manner.
  2. Provides administrative support to the Development Department by maintaining calendars, tracking deliverables, coordinating meetings, organizing files, and managing department workflows.
  3. Assists with preparing reports, presentations, board materials, and meeting packets.
  4. Helps schedule and organize meetings between RFHN staff and members of the press, partner agencies, funders, donors, public officials, etc.
  5. Serves as a representative of RFHN at site visits held at RFHN campuses as well as at external events hosted by donors, funders, public officials, etc. to promote visibility and help cultivate strategic partnerships.
  6. Supports RFHN's donor outreach efforts via email and/or phone calls.
  7. Assists with troubleshooting and addressing inquiries from donors, funders, public officials, partner agencies, etc.

Grant Support (as needed)

  1. Conducts grant research.
  2. Assists with creating calendar reminders for grant and report deadlines.
  3. Conducts research around population health data for grants and reports.
  4. Gathers information and data as well as drafts brief language for grant and report deadlines.
  5. Assists in packaging and preparing materials for grant proposals and reports.
  6. Provide administrative support for grant proposals, reports, etc.
  7. Performs other duties as assigned.

QUALIFICATIONS

  • Bachelor's degree.
  • Experience with CRM databases such as Salesforce and digital marketing platforms such as Mailchimp, Canva, Hootsuite, WordPress, Elementor, or similar software preferred.
  • Strong organizational skills and attention to details are a must.
  • Ability to prioritize work, juggle multiple projects, and meet key deadlines.
  • Ability to maintain positive attitude during stressful times.
  • Strong interpersonal skills with professional demeanor.
  • Ability to effectively work independently and with a team.

  • Excellent written and verbal communication skills, including compiling and writing meaningful reports.
  • Flexible, creative, and well organized with ability to multi-task.
  • Computer literate in PC skills and Microsoft Office (Word, Excel, and PowerPoint) with ability to use word processing, electronic spreadsheet, and other database programs to support data collection and reporting.
  • Willingness and ability to accept responsibility, make sound judgments, know professional boundaries of skill, deal with diverse groups, a variety of personalities, and work as a collaborative team member.
  • Ability to communicate effectively, build effective working relationships and work directly with physicians, staff, managers, department heads, donors, board members, community organizations, and community members.

  • Must be able to travel to various clinical sites when required to execute duties.
  • Up to date with COVID-19 vaccines per current CDC guidelines strongly recommended.

The pay range for this position is $25.00 to $30.00 per hour. However, the final base salary will be determined upon a number of individualized factors such as (but not limited to) the scope and responsibilities of the position, job-related knowledge, skills, experience, education and certification levels, and departmental budget. We also consider internal equity with our current employees when making final offers.
