About Northern Essex Community College:

Job Description:

POSITION: Full-Time Assistant Program Manager - Corporate Education (Staff Associate): Center for Corporate and Community Education (CCCE); Haverhill Campus; 37.5 hours per week; Non-Unit Professional Position.

SUMMARY: Reporting to the Program Manager of Corporate Education, the Assistant Program Manager is a key member of NECC's Center for Corporate and Community Education team managing the execution and servicing of education and training programs for firms and organizations located in the Merrimack Valley. This person will act as the liaison between the Center and its corporate clients as well as the instructors the Center sources to ensure the seamless implementation of individual Corporate Education programs. The Assistant Program Manager will provide excellent customer service and use client and instructor feedback to inform the Program Manager's perspective on how to refine existing offerings and create new ones. This person will also need to be intimately familiar with the software applications and corresponding processes that facilitate our offerings.ย 

RESPONSIBILITIES:

The responsibilities include, but are not limited to the following:

Program Coordination (50%)

Corporate Education and Training:

  • Coordinate the logistics around instructor sourcing and curriculum development and delivery.
  • Prepare all training materials for instructors in a timely manner.
  • Work closely with instructors and clients to coordinate class logistics, equipment and material needs, and location.
  • Manage invoicing and confirm status of revenue collection on a regular basis for review with Program Manager and Finance and Operations Department.
  • Proactively manage instructor and customer expectations of program delivery and provide customer service that exceeds expectations.
  • Oversee and ensure all corporate education student registrations are properly and accurately documented.
  • Utilize NECC software applications such as 25 LIVE, Banner, Destiny One, Raiser's Edge, Training Pro, and other workforce databases as necessary for room reservations for courses, customer contact tracking and course implementation.
  • Track contract terms and classes utilizing calendars, spreadsheets and other documents developed by the department.
  • Review course evaluations from all customer trainings for the purposes of strategic evaluation, refinement of current offerings, and development of new offerings.

External Collaboration (15%)

  • Work in concert with other community college workforce development colleagues as needed to facilitate and implement MACC assigned projects.
  • Represent NECC and CCCE as needed at Industry and Community meetings and events.
  • Assist Program Manager in meeting with companies and organizations throughout the contract process. This includes training discovery meetings, check-ins throughout the life of a contract and debrief meetings after a contract is completed.
  • Work with the Program Manager to develop and administer training contracts for new and returning clients.

Internal Collaboration (15%)

  • Work with Community Education and other internal colleagues and departments as needed for program development, implementation, and marketing.
  • Work with Community Education and other internal colleagues and departments for data gathering and maintenance for reporting purposes.

Payroll & Budget (10%)

  • Accurately develop, compile, complete, and distribute to involved parties (i.e. instructors, vendors) Request to Employ (RTE) forms, instructor offer letters, and required HR and Payroll documentation in a timely manner.
  • Compile and submit contract instructor/vendor payroll spreadsheet according to bi-weekly payroll schedule.
  • Assist in the development of budget projections for Corporate Education.
  • Budget monitoring and reporting for various state and federal grants within department as requested.

Marketing (5%)

  • Develop and execute strategies to acquire and retain corporate customers.
  • Collaborate with marketing team to produce any project based promotional materials.
  • Update Corporate Education website pages as needed.

Other Duties and Responsibilities (5%)

  • Identify departmental inefficiencies and take leadership role in presenting ideas, seeking others' input, and implementing corrective action.
  • Assist the Program Manager, and/or other staff with special projects as needed.
  • Maintain current knowledge of trends and practices in the field through peer associations, attendance at seminars, study, and review of literature.
  • Other duties as assigned.

Requirements:

MINIMUM QUALIFICATIONS:

  • Bachelor's degree
  • 3 -5 years of experience with institutes of higher education and/or business to business sales or an equivalent combination of education and experience
  • Strong organizational and problem-solving skills with attention to detail
  • Excellent verbal and written communication skills
  • Proven ability to work independently and take initiative in carrying out assigned tasks reliably and accurately
  • Ability to maintain confidentiality of financial, personnel and payroll information
  • Computer skills (Microsoft Office Suite, Student Information Systems)
  • Ability to work in a dynamic environment of rapidly changing priorities

PREFERRED QUALIFICATIONS:

  • Bilingual (Spanish/English)
  • Experience in a customer service setting
  • Experience in project and program management
  • Ability to read and interpret budgetary and statistical data.
  • Background in developing basic sales collateral
  • Experience using WordPress and Canva
  • Experience working with and supporting a culturally diverse population

Additional Information:

SALARY: Anticipated starting salary range is $65,000.00 - $69,000.00 annually with complete fringe benefit package including competitive health insurance, dental insurance, basic life insurance, long-term disability insurance, paid sick, vacation and personal leave, educational benefits for employee/spouse/dependents, and excellent retirement benefits. ย Official transcripts will be required at the time of hire.
