JOB SUMMARY

Reporting to the Program Manager, Corporate Learning, the Program Coordinator is the primary point of contact for the coordination and administration of the Corporate Learning and Development branch. The role provides guidance and support to staff, clients, and external vendors, and oversees the effective delivery of administrative, financial, and vendor-related processes.

The Program Coordinator supports branch operations through coordination of budgeting, scheduling, and vendor activities, and plays a key role in ensuring the accuracy, consistency, and integrity of administrative and financial processes. The role contributes to branch planning and decision-making by maintaining financial documentation and supporting reporting requirements.

The position is responsible for resolving escalated administrative issues and providing functional supervision to Program Assistant staff. The Program Coordinator also identifies and implements process improvements to enhance efficiency, compliance, and service delivery, in alignment with Corporate Learning's mandate and the City's strategic direction.

EDUCATION AND EXPERIENCE

Completion of 2 year community college diploma in Business Administration or related field

Minimum 3 years of progressively responsible administrative and budget related experience, 2 years of which must include working in a client service environment

Minimum of 1 year working with SAP (preferably Training & Events Module)
Desirable Qualifications:

  • Previous experience working with a large budget
  • Knowledge of Stellent (Ozone web page editor)
  • Supervisory experience
KNOWLEDGE
  • Budget management and statistical record keeping and tracking techniques
  • MS Office Suite (Advanced Excel, Word, Power Point and Outlook)
  • Set up and troubleshooting of all equipment (Projectors, Laptops, DVD players)
  • General knowledge of City of Ottawa policies and procedures
  • General office procedures including file and records management
  • Strong working knowledge of current technology with ability to research and independently learn to use new solutions
  • Familiar with The Accessibility for Ontarians with Disabilities Act (AODA)
  • Knowledge of applicable health and safety legislation, including the rights and duties of workers.
