POSITION

Project Coordinator

LOCATION

Terrace, BC (Fly-In, Fly-Out / Drive-In, Drive-Out)

STATUS

Full-Time, Rotational (2 weeks on / 2 weeks off)

POSITION SUMMARY

The Project Coordinator is a critical hub connecting site operations, project management, and corporate teams. In this fast-paced role, you will ensure accurate cost tracking, financial transparency, and seamless project execution from inception to completion.

Supporting vital functions—including Labour, Equipment, and Materials (LEMs) tracking, invoicing, procurement, and financial reporting—you will help keep our projects aligned, informed, and on budget. Working closely with Project Controls, Site Teams, Payroll, Accounts Payable, and Fleet, you will maintain high data integrity, support forecasting and change management, and proactively mitigate financial and operational risks.

This is an exceptional opportunity for a detail-oriented, collaborative professional looking to drive operational excellence on major heavy industrial/civil projects.

KEY RESPONSIBILITIESConstruction Coordination & Field Support
  • Operational Liaison: Act as a central point of contact between field crews, subcontractors, and project management, actively promoting a Safety First, Safety Always culture.
  • Planning & Scheduling: Assist in planning and scheduling project activities, including the efficient allocation of materials, equipment, and workforce resources.
  • Quality & Compliance: Support the Quality Management Program (QMP) by facilitating Requests for Information (RFIs) and Non-Conformance Reports (NCRs), participating in site inspections, and ensuring compliance with safety and environmental standards.
Cost Control, Financial Tracking & LEMs
  • System Maintenance: Oversee project systems management, including job setup, cost-code allocation, Purchase Order (PO) tracking, and resource database management.
  • Financial Tracking: Monitor project expenditures, perform variance analysis to identify budget risks, and support monthly financial forecasting.
  • LEMs & Invoicing: Prepare, validate, and submit daily/weekly LEMs in strict accordance with client contract requirements. Assist with progress billings, accruals, and client cost reconciliations.
  • Change Management: Support the change management process by rigorously tracking scope changes, extra work authorizations, and associated cost impacts.
Reporting, Administration & Compliance
  • Project Reporting: Compile comprehensive weekly and monthly reports, including progress metrics, cost-to-complete tracking, and Key Performance Indicators (KPIs).
  • Document Control: Maintain flawless project documentation, including drawings, daily logs, meeting minutes, and regulatory records.
  • Subcontractor Management: Assist with subcontractor onboarding, ensuring compliance with contract terms, safety standards, and insurance/wcb requirements.
  • Audit Readiness: Ensure all administrative practices, financial records, and reports meet stringent internal audit and external contractual obligations.
QUALIFICATIONSExperience & Education
  • Experience: 2–5 years of experience in project coordination, cost tracking, or project controls (experience in heavy civil, mining, or heavy industrial sectors is highly preferred).
  • Education: Post-secondary degree or diploma in Business Administration, Finance, Project Management, Construction Management, or a related discipline (or equivalent practical experience).
Technical Skills
  • Software Proficiency: Advanced proficiency in Microsoft Excel (data analysis, formulas, pivot tables) and the broader MS Office Suite.
  • Systems Experience: Experience using Tier 1 or Tier 2 ERPs, project management, or cost-tracking software (e.g., Procore, SAP, Viewpoint, Explorer, or similar).
  • Technical Literacy: Ability to read and interpret construction drawings, contracts, and technical specifications.

CONDITIONS OF EMPLOYMENT

  • Valid WHMIS and TDG (Transportation of Dangerous Goods) certifications.
  • Standard First Aid Certification (Level 1 / Emergency or higher).
