Your Impact at LAURIN

As a Proposal Coordinator, you'll play a vital role in helping LAURIN secure new opportunities and grow our business. Working alongside our Proposal Manager, operations teams, estimators, and subject matter experts, you'll coordinate the development of compelling, compliant, and visually polished proposals that showcase our expertise and differentiate us in a competitive marketplace.


From organizing pursuit schedules and managing submission requirements to producing professional proposal documents and maintaining our proposal resources, your attention to detail and organizational skills will directly contribute to winning new work and strengthening LAURIN's brand. Every successful submission reflects your ability to bring together people, information, and creativity under tight deadlines while maintaining the highest standards of quality.


Key Responsibilities

  • Reviews EOI/RFSQ/RFP requirements and prepares compliance checklists.
  • Coordinates proposal schedules, deadlines, and team deliverables.
  • Organizes and supports kick-off meetings, reviews, and submission logistics.
  • Collects and updates resumes, project profiles, and supporting materials.
  • Formats, edits, and proofreads proposal content for consistency and accuracy.
  • Maintains proposal templates, style guides, and content libraries.
  • Supports layout and production to ensure a professional, branded submission.
  • Tracks version control and organizes proposal files for easy access.
  • Ensures timely and compliant delivery of final submissions.
  • Provides administrative and logistical support to the Proposal Manager and pursuit team.
  • Coordinates social media content, scheduling, and branding alignment to support business development initiatives.


Qualifications

  • 3+ years of relevant experience in proposal support, communications, marketing, or visual communications.
  • Strong project management, organization, and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
  • Excellent verbal and written communication skills, with attention to grammar, clarity, and formatting consistency.
  • Solid understanding of proposal fundamentals, best practices, and compliance requirements.
  • Experience coordinating proposal schedules, reviews, and submission processes.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe Creative Suite (InDesign, Photoshop, Illustrator) for formatting and layout support.
  • Familiarity with maintaining proposal templates, version control, and content libraries.
  • Ability to support proposal production, including assembling, proofreading, and ensuring brand-compliant presentation of materials.


Education & Professional Credentials

  • Degree or diploma in marketing, communications, journalism, or related experience.


Eligibility & Security Requirements

At LAURIN, many of our projects require specific employment and security conditions. To be considered, candidates must:

  • Be legally authorized to work in Canada. Please note that LAURIN does not provide or assume sponsorship for work permits or visas.
  • Be eligible to obtain and maintain Government of Canada Reliability Status security clearance (Secret clearance is considered an asset).
  • Successful candidates will be required to provide proof of authorization to work in Canada (e.g., valid work permit or Social Insurance Number). All offers of employment are conditional upon obtaining the required security clearance.


Estimated Compensation

The salary range for this role is $60,000 — $80,000, based on experience and qualifications. Final compensation will be confirmed in your personalized offer.
