Job description

Position Title: Program Coordinator
Location: HOUSTON, TX
FLSA Class: EXEMPT
Responsible to: Head of Engineering Services

Position Summary: The Program Coordinator supports Technical Program Managers (TPMs) in executing crossfunctional engineering programs. This role focuses on coordination, task tracking, tool management, and documentation to ensure engineering work progresses on time and with clear visibility. The Program Coordinator is responsible for maintaining program structure and execution discipline across engineering teams, including Design Engineering, Project Engineering, Operations Engineering, and supporting functions such as Procurement, Construction, Assets, and Operations. This role does not own technical decisions or program strategy but plays a critical role in enabling efficient execution, communication, and accountability across teams.

Essential Duties and Responsibilities Program Coordination & Execution Support
  • Support TPMs in managing active programs across engineering and operations
    teams
  • Coordinate tasks across Design Engineering, Project Engineering, and Field
    Engineering
  • Track deliverables, dependencies, and milestones across multiple workstreams
  • Follow up with owners to ensure tasks are progressing and completed on time
  • Identify delays, gaps, and misalignments and elevate to TPMs
Task & Tool Management
  • Maintain program tasks and workflows in tools such as Asana, Jira, or similar
    platforms
  • Ensure tasks are clearly defined, assigned, prioritized, and time-bound
  • Track backlog health, task aging, and completion rates
  • Support weekly updates to ensure tools reflect current program status
  • Help enforce standard usage of tools across engineering teams
Documentation & Knowledge Management
  • Organize and maintain program documentation, including:
    • Meeting notes
    • Engineering deliverables
    • Process documents
    • Program artifacts
  • Ensure documentation is structured, up to date, and accessible
  • Support creation and maintenance of:
    • Process flows
    • Communication matrices
    • RACI charts
    • Training materials
Reporting & Visibility
  • Support preparation of weekly program status reports
  • Maintain dashboards and trackers for:
    • Task progress
    • Milestone status
    • Risks and issues
  • Ensure data accuracy and consistency across reporting tools
  • Provide inputs for engineering business intelligence and reporting
Meeting Coordination & Followโ€‘ups
  • Schedule and coordinate program meetings led by TPMs
  • Capture meeting notes, decisions, and action items
  • Maintain action trackers and follow up with owners
  • Ensure closure of action items and visibility into outstanding work
Required Qualifications
  • Bachelorโ€™s degree in Business, or related field (or equivalent experience)
  • 2โ€“5 years of experience in program coordination, project coordination, or engineering
    support roles
  • Strong organizational and task-tracking skills
  • Ability to manage multiple workstreams simultaneously
Preferred Qualifications
  • Experience working in Electrical engineering, Mechanical Engineering, Construction,
    Energy, or Industrial environments
  • Exposure to cross-functional program or project environments
  • Familiarity with engineering workflows, deliverables, and terminology
  • Experience supporting TPMs, PMs, or engineering leadership
