Job description

The Program Coordinator provides operational and administrative support to ensure the successful planning, execution, and ongoing management of programs and projects. Working closely with the Program Manager and cross-functional teams, this role is responsible for coordinating activities, maintaining program documentation, tracking deliverables, facilitating communication, and supporting process improvements. The Program Coordinator helps keep initiatives organized, on schedule, and aligned with organizational goals by managing day-to-day coordination, monitoring progress, and ensuring stakeholders have the information and resources needed for successful program execution.


JOB RESPONSIBILITIES:

  • Maintain program documentation including project plans, meeting notes, and status trackers.
  • Coordinate scheduling, agendas, and follow-ups for internal team meetings and stakeholder reviews.
  • Track and report on team action items, deadlines, and deliverables on behalf of the Program Manager.
  • Manage shared inboxes, internal communications, and document repositories
  • Assist with client-facing communications, event coordination, and reporting as needed.
  • Identify and flag process gaps; recommend and implement workflow improvement.
  • Plan, manage, and report on project progress from Request for Proposal (RFP) through Implementation and year-over-year renewal.
  • Develop best practices and identify potential gaps.
  • Continuously build knowledge of federal legislation and other programs related to financial aid, as they emerge and change, to provide best practice recommendations to customers.
  • Develop and maintain program guidelines, policies, and procedures in alignment with organizational objectives and regulatory requirements.

EDUCATION:

Bachelor's degree in Business Administration, Project Management, Communications, or a related field, or equivalent combination of education and experience preferred.


EXPERIENCE:

  • 1-3 years of experience in program coordination, project support, operations, or administrative support role.
  • Proven ability to organize and maintain documentation, track action items and deadlines, and support the execution of multiple concurrent initiatives.
  • Experience working with internal stakeholders and cross-functional teams, with strong proficiency in Microsoft Office Suite and collaboration/project tracking tools.
  • Strong written and verbal communication skills with the ability to clearly document updates, follow-ups, and status reporting across multiple audiences.

COMPETENCIES - SKILLS/KNOWLEDGE/ABILITIES:

  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously in a structured and detail-oriented manner.
  • Excellent written and verbal communication skills, with the ability to synthesize information and clearly document meeting notes, action items, and status updates.
  • Proficiency in project coordination practices, including tracking deliverables, maintaining documentation, and supporting workflow execution across teams.
  • Strong problem-solving skills with the ability to identify process gaps, recommend improvements, and support implementation of more efficient workflows.
  • Ability to work independently while also contributing effectively in a collaborative, cross-functional team environment.
  • High level of accuracy and attention to detail, particularly in maintaining records, tracking tasks, and ensuring follow-through on commitments.
  • Working knowledge of Microsoft Office Suite (Outlook, Word, Excel) and familiarity with collaboration or project tracking tools.
  • Ability to manage confidential and sensitive information with discretion and professionalism.
  • Ability to model and influence behavior consistent with company goals and values.
  • Knowledge of FACTS SGO products and operating systems a plus.

Compensation range for this role is $50,000 to $52,000, depending on experience.
