Summary of Job Duties:The Medical Scientist Training Program (MSTP) seeks a dynamic, organized, and student-centered Associate Program Manager & Administrator to provide comprehensive administrative oversight and programmatic support for a federally funded, NIH T32-supported dual-degree training program. The MSTP prepares the next generation of clinician-scientist leaders (individuals earning both a clinical degree (MD, DO, DDS, PharmD, etc.) and a research doctorate (PhD)) who will accelerate the translation of biomedical discoveries into improved human health.
Reporting to the Program Directors, this full-time position serves as the operational backbone of the program. The Program Manager ensures regulatory compliance with NIH/NRSA requirements, manages all aspects of grant administration and reporting, coordinates trainee recruitment and appointments, supports mentorship and career development programming, works closely with program leadership, faculty, and program evaluator, and fosters a welcoming, supportive community for trainees across the full arc of their dual-degree careers. The ideal candidate brings prior federal grants management experience and a genuine enthusiasm for working with graduate trainees in an academic biomedical research environment.
Qualifications:
  • Bachelor's degree requiredPLUS two (2 )years of experience in grants administration or sponsored research management. Sufficient alternate experience or alternative education may be substituted for the degree requirement.

Preferred Qualifications:

  • Master's degree in public health, health administration, biological sciences, or a related field

  • Direct experience administering NIH awards strongly preferred.

  • PMP Certification

Knowledge, Skill, and Abilities:

  • Demonstrated knowledge of NIH grants policies, NRSA regulations, federal cost principles (OMB), and eRA Commons/xTrain systems.

  • Exceptional organizational skills with strong attention to detail and ability to manage multiple concurrent deadlines.

  • Strong interpersonal skills and demonstrated ability to build positive relationships with trainees, faculty, and institutional administrators.

  • Excellent written and verbal communication skills, including experience writing or editing narrative content for grant reports or applications.

  • Proficiency with database management, spreadsheet analysis, and institutional reporting systems (RedCap, Power PI, Excel)

  • Experience maintaining public-facing program websites and managing digital communications.


Additional Information:

Responsibilities

  • Administer and coordinate the NIH T32 training grant in compliance with NIH, institutional, and federal regulations.

  • Prepare and submit required grant reports, trainee appointments, and other NIH documentation.

  • Monitor grant budgets, expenditures, and program records in collaboration with grants management staff.

  • Coordinate trainee recruitment, appointments, onboarding, and program participation.

  • Provide administrative support and guidance to trainees throughout the training program.

  • Coordinate seminars, workshops, retreats, advisory committee meetings, and career development activities.

  • Maintain program databases, prepare reports, and track trainee outcomes for NIH reporting and program evaluation.

  • Collaborate with faculty, institutional partners, and external stakeholders to support program goals and continuous improvement.

  • Maintain the program website and assist with grant renewals, site visits, and accreditation activities.

  • Perform other duties as assigned.
