SUMMARY

This role is responsible for the day-to-day execution, maintenance, and support of client ordering platforms across the organization. The Associate Program Manager works closely with internal teams to build and manage portals based on defined requirements and ensures all programs are maintained accurately and efficiently over time.

This is a highly execution-focused role requiring strong attention to detail, responsiveness, and accountability. The ideal candidate is proactive, organized, and able to work through challenges while maintaining ownership of tasks from start to finish.


KEY RESPONSIBILITIES

Portal Build & Configuration

  • Build and configure client-facing ordering platforms based on defined requirements and project direction 
  • Set up products, categories, user access, and workflows within internal systems 
  • Ensure all portal components are accurate, functional, and aligned with provided specifications 

Ongoing Portal Maintenance & Support

  • Own the day-to-day maintenance of all active portals across the client base 
  • Manage product updates, SKU changes, inventory adjustments, and content updates 
  • Monitor portals to ensure accuracy, usability, and overall performance 
  • Identify and resolve issues in a timely manner 

Task Ownership & Execution

  • Take full ownership of assigned tasks and follow through to completion 
  • Manage multiple requests and priorities while meeting deadlines 
  • Ensure work is completed accurately and on time without the need for constant follow-up 
  • Maintain strong attention to detail across all deliverables 

Problem Solving & Issue Resolution

  • Work through challenges independently and proactively seek solutions 
  • Troubleshoot issues and determine next steps rather than deferring or delaying work 
  • Escalate when needed, but maintain ownership through resolution 
  • Adapt to changing priorities and unexpected issues with a solutions-oriented mindset 

Internal Communication & Collaboration

  • Collaborate with internal teams including warehouse, customer service, production, and billing 
  • Communicate clearly regarding timelines, updates, and any issues impacting execution 
  • Support overall team efforts to ensure orders are processed and fulfilled accurately and on time 

Data & System Accuracy

  • Maintain consistency and accuracy of data across systems, including product, order, and inventory data 
  • Support reporting needs and ensure data integrity across platforms 

Process Documentation & Improvement

  • Document workflows and updates to support consistency across programs 
  • Identify opportunities to improve efficiency and organization within existing processes 

Requirements

REQUIRED EDUCATION/EXPERIENCE

  • Bachelor's degree in Business, Operations, or related field (or equivalent experience) 
  • 2+ years of experience in a project coordination, operations, or support role 
  • Strong organizational skills and attention to detail 
  • Ability to manage multiple tasks and priorities in a fast-paced environment 
  • Strong problem-solving skills and ability to work through challenges independently 
  • Excellent verbal and written communication skills 
  • Proficiency in Microsoft Office (especially Excel and Outlook) 
  • Self-motivated with a strong sense of accountability and follow-through
