Job Description
Under indirect supervision, the Program Assistant provides support to the Hereditary Cancer Clinic Services. Assists with scheduling, pre-appointment chart preparation, post visit follow-up, and data entry as directed by the team. Performs routine and specialized administrative functions to support the program to maintain an efficient and effective operation.
Job Responsibilities:
20% Performing scheduling and data uploads prior to patient appointment
  • Schedule patients to Hereditary Cancer Clinic
  • Upload appointment information to CRA
  • Upload CRA data to Hereditary Cancer Clinic
  • Confirm appropriateness of appointments
  • Confirm appointments with patients to reduce no show rates as needed
35% Pre-clinic appointment preparation
  • Ensure pedigree is ready and consistent with standards
  • Check compliance with guidelines
  • Verify and update relevant medical history, test results and relative data into the EMR
  • Confirm genetic test results are available
  • Assists with patient phone inquiries and MyChart messages.
30% Provide post-visit support
  • Check and store results of tests and consultations
  • Sends Hereditary Cancer Clinic summaries to patients after appointment
  • In collaboration with providers and with proper training, may review negative results with patients and provide appropriate documentation in EPIC for patientโ€™s EMR.
  • Inform providers of positive results requiring further options
  • Review and update guidelines as they change
  • Contact patients to inform of guideline changes
  • Assists with patient follow-up letters regarding test results and helps identify applicable resources and/or support organizations for the patient/family.

15% Assists with data collection for research studies and gathering statistics for the program
Additional Job Description
Minimum Qualifications:
Bachelorโ€™s degree or equivalent combination of educational and work experience.
Excellent communication (both oral and written), interpersonal, customer service, and organizational skills.
Basic math and computer skills, and knowledge of medical terminology
Proficient in MS Office including Excel, Word, Outlook, Teams
Preferred Qualifications:
Bachelorโ€™s degree in genetics or biological sciences or health related field
Experience in medical facility
