Summary:
 The Program Assistant will support the daily operations of the Community Services and Planning Divisions, ensuring effective communication, recordkeeping, and administrative tasks are completed in a timely and organized manner. This position involves working closely with clients, vendors, and staff while maintaining confidentiality and compliance with applicable regulations.

Essential Duties & Responsibilities:

  1. Communication & Daily Operations Support:
    • Interact with clients, vendors, and visitors to ensure smooth operations.
    • Answer incoming calls and direct them appropriately.
    • Prepare responses to routine inquiries and correspondence.
    • Perform general clerical duties, including copying, faxing, and filing.
    • Conduct research, compile data, and prepare documents for management staff.
    • Create and modify documents, such as reports, memos, and letters, using Microsoft Office and the THO system.
  2. Documentation & Reporting Support:
    • Assist with documentation, recordkeeping, and reporting requirements for various programs.
    • Ensure compliance with state and federal regulations.
    • Maintain confidentiality in handling client, staff, and agency information.
  3. Event Planning & Execution:
    • Assist in the planning and execution of special program events or training sessions.
  4. Special Projects Support:
    • Assist with special projects to support the administration and operations of the program.
  5. Meetings & Training:
    • Attend and participate in meetings, work groups, team meetings, and training conferences as assigned. This may include local, state, regional, and national groups.
  6. Compliance with Policies & Procedures:
    • Comply with Mid-Cumberland Community Action Agency’s Policies and Procedures, as well as applicable Early Childhood Standards, including DHS Licensing, CACFP, TN Department of Health, and NAEYC Accreditation Standards.
  7. Other Duties as Assigned:
    • Perform any other duties as assigned by the Supervisor.

Education & Experience Qualifications:

  • Education:
    • High School Diploma required; Certification or AA degree preferred.
  • Experience:
    • Minimum of 1 years of administrative experience.

Preferred Qualifications:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and experience with recordkeeping systems.
