Job Description:
The client is seeking a highly organized Production Operations Coordinator to support financial, contractual, and operational workflows for a fast-paced production environment. This role serves as a key liaison across multiple departments, ensuring smooth execution of payroll, invoicing, vendor management, onboarding, and office operations.

Day-to-Day Responsibilities:

  • Process payroll and support payroll-related operations using Wrapbook or equivalent platforms
  • Manage invoice processing, purchase orders, expense tracking, and reconciliations
  • Coordinate vendor onboarding, contract tracking, and documentation workflows
  • Submit contracts and agreements through internal approval and legal review processes
  • Maintain accurate records for vendors, contracts, and operational documentation
  • Support employee onboarding and offboarding activities
  • Manage office operations including supplies, inventory, and facilities coordination
  • Create and maintain process documentation, training materials, and operational playbooks
  • Partner with Finance, Legal, HR, IT, and Operations teams on cross-functional initiatives
  • Identify process improvements and implement operational efficiencies
Minimum Requirements:
  • 3-5 years of experience in operations coordination, production operations, payroll administration, or a related field
  • Experience processing payroll using Wrapbook or equivalent systems
  • Experience managing invoicing through Coupa or similar platforms
  • Strong contract tracking and vendor management experience
  • Exceptional organizational skills with the ability to manage multiple priorities
  • High attention to detail and accuracy when working with financial data
  • Ability to thrive in fast-paced, evolving environments
  • Strong communication and cross-functional collaboration skills
  • Bachelor's Degree
  • Proactive mindset with a strong sense of ownership and accountability
  • Interest in leveraging AI tools to improve workflows and efficiency
Preferred Qualificaions:
  • Experience with Agiloft
  • Experience with Showbiz budgeting software
  • Experience with Dropbox administration
  • Background supporting creative, studio, production, military, or similarly fast-paced environments
  • Experience working closely with Legal, Finance, HR, and Procurement teams
  • Experience creating operational playbooks and training documentation
  • Familiarity with production insurance certificates and compliance documentation
