Job description
The Creative Design and Production Manager will oversee each project from the initial client concept and visual proposal through final approval and handoff. This individual will have the opportunity to develop and implement their own processes while establishing the department's creative standards, vendor resources, pricing structure, and production procedures from the ground up. The approved design, production requirements, vendor information, and client expectations will be clearly communicated to a team of Event Services Managers responsible for event detailing and on-site execution. The Creative Design and Production Manager will provide the training, visual resources, and creative direction needed to ensure each event is delivered as envisioned.
The ideal candidate is creative, organized, and resourceful, with experience designing corporate events, private parties, venue buyouts, branded activations, themed events, and large-scale experiences. They must be able to thrive in a fast-paced, high-volume environment while managing multiple projects, priorities, and deadlines across several venues at once.
Candidates must also understand applicable laws, permitting requirements, fire and life safety regulations, insurance requirements, and venue policies to ensure all proposed designs, installations, and production elements are compliant.
JOB EXPECTATIONS
To include but not limited to
Department Development and Leadership
- Build the creative design and production department from the ground up
- Establish department processes, production procedures, pricing standards, profit goals, vendor requirements, and quality expectations
- Develop templates for visual proposals, event cost sheets, production schedules, design presentations, and final cost reconciliation
- Create efficient systems for managing creative requests, approvals, budgets, vendors, production timelines, and event execution
- Develop a preferred vendor network and maintain current pricing, service capabilities, and vendor performance records
- Establish creative and production standards that can be consistently followed across all properties
- Track department revenue, costs, profit margins, and growth opportunities
Venue Branding and Sales Tools
- Build comprehensive branding and event design decks for each venue
- Develop venue-specific creative concepts, themed dรฉcor options, branding opportunities, food presentation ideas, and production packages
- Work with sales and marketing teams to ensure each venue deck accurately represents the property's identity, capabilities, and event potential
- Maintain and regularly update venue decks with new event photography, design concepts, pricing, vendor options, and successful installations
- Create visual tools that help the sales team present creative enhancements and upsell opportunities to clients
Creative Design
- Develop original event concepts based on the client's vision, brand, budget, and venue
- Build polished visual proposals, mood boards, renderings, and presentation decks
- Design themed dรฉcor and customized event environments
- Create concepts for furniture, floral, branding, signage, scenic elements, lighting, entertainment, audiovisual production, gifting, and interactive experiences
- Ensure every design complements the style and identity of the individual property
Food and Buffet Presentation
- Collaborate with culinary and operations teams to develop creative food and beverage presentations
- Design elevated buffet layouts, food stations, dessert displays, beverage displays, and other culinary presentation elements
- Incorporate dรฉcor, signage, branding, serving pieces, and visual details into food and buffet displays
- Ensure all displays are attractive, functional, operationally appropriate, and consistent with the overall event design
Production Management
- Manage production from proposal development through installation, event execution, breakdown, and final billing
- Create and maintain production schedules, vendor timelines, installation plans, floor plans, event checklists, and project documentation
- Coordinate & Communicate load-in, setup, on-site production, and load-out expectations
- Ensure all hotel, venue, safety, security, and property requirements are followed
- Provide on-site production leadership for high-profile and large-scale events
- Troubleshoot production challenges and develop timely, practical solutions
On-Site Services Training and Execution
- Work closely with the on-site event services team to ensure every creative detail is executed as envisioned
- Clearly communicate the approved design, event flow, setup requirements, vendor responsibilities, and client expectations to the on-site team
- Provide training and guidance to event services team members on event presentation, dรฉcor placement, food and buffet displays, branding, signage, and overall guest experience
- Develop setup guides, visual references, checklists, and service standards for each event
- Conduct pre-event meetings and on-site walkthroughs to confirm that the team understands the creative vision and execution plan
- Inspect event setups and make adjustments before guest arrival
- Provide feedback and continued training following events to maintain consistent execution across all properties
Vendor Management
- Build and maintain strong relationships with production companies, rental providers, florists, fabricators, printers, entertainment partners, audiovisual companies, and other creative vendors
- Source new products and vendors that support the creative needs of multiple properties
- Request and review estimates, negotiate pricing, confirm availability, and manage vendor performance
- Maintain preferred vendor lists, current pricing, design resources, production inventories, and event photography
- Budgets and Profitability
- Prepare and manage event cost sheets, vendor estimates, client pricing, production budgets, and purchase tracking
- Complete final cost reconciliation and confirm all vendor expenses are properly documented
- Understand and maintain required profit margins
- Negotiate vendor pricing while maintaining the quality and integrity of the event design
- Develop creative solutions that remain within the approved client budget
- Identify design and production upsell opportunities that enhance the guest experience and generate additional revenue
Client and Team Collaboration
- Participate in client meetings, presentations, property tours, and venue walkthroughs
- Present creative concepts and explain design recommendations clearly and professionally
- Collaborate with sales, event services, culinary, operations, marketing, talent, security, and property leadership
- Communicate project updates, deadlines, responsibilities, and production requirements to all involved teams
- Manage multiple properties, events, deadlines, and changing priorities at the same time
SUPERVISORY RESPONSIBILITIES

REQUIREMENTS
- Minimum of five years of experience in event design, event production, experiential marketing, hospitality, nightlife, a destination management company, or a related creative field
- Proven experience building or developing a creative design, event production, or related department
- Proven experience managing creative design and production for multiple events or properties simultaneously
- Experience developing venue branding decks, visual proposals, mood boards, presentation decks, renderings, and themed event concepts
- Experience designing dรฉcor, branded environments, food displays, buffet presentations, and elevated guest experiences
- Experience managing event cost sheets, vendor pricing, client pricing, production budgets, and final cost reconciliation
- Experience training or directing event services, production, or operations teams is preferred
- Creative and Technical Skills
- Strong understanding of event dรฉcor, furniture, floral, branding, signage, lighting, audiovisual production, fabrication, entertainment, and event logistics
- Strong visual design skills with excellent attention to color, scale, balance, styling, and presentation
- Proficiency in Canva and Microsoft Office or Google Workspace
- Experience with Tripleseat, Social Tables, AllSeated, or similar platforms is preferred
- Strong understanding of profit margins, markups, vendor negotiations, and revenue-generating event enhancements
- Ability to balance creativity with client budgets, operational requirements, and company profitability
- Strong organizational, time-management, negotiation, leadership, and problem-solving skills
