Job description

Production Administrative Assistant

Metals USA is seeking a Production Administrative Assistant in Seekonk, MA. Metals USA is a solid, growth oriented, carbon steel (plate, beam and tube) distribution center servicing the defense, commercial, construction, aerospace and fabrication industries.

The Production Administrative Assistant is responsible for receiving incoming shipments and performing administrative or clerical duties with minimal variation and requires moderate skill level.

Responsibilities:

  • Receives incoming shipments of material and revises the receiving log.
  • Examines documents for discrepancies in quantity and description, and reports problems to management in a timely manner.
  • Delivers incoming shipments and paperwork to the appropriate departments.
  • Completes production paperwork, follows shop system data collection procedures and follows inspection procedures on a daily basis.
  • Resolves receiving work order and billing discrepancies in coordination with sales, purchasing and quality, and responds to inquiries on any material received.
  • Processes returned purchased items that are not acceptable or do not meet specifications.
  • Maintains electronic and hard copy filing system.
  • Processes shipping and receiving documents and runs basic reports as required.
  • Works independently performing data entry, copying, and faxing, scanning and general clerical duties.
  • Assists in resolving any administrative problems in the production department.
  • Regular and predictable attendance is required to perform the duties of a production administrative assistant.
  • Adheres to established company policies and procedures paying special attention to safety regulations.
  • Adheres to Reliance Steel and Aluminum's Code of Conduct as well as customer confidentiality requirements.
  • Performs other related duties as assigned.
Physical Demands:
  • Occupation requires being sedentary less than or equal to 75% of the time (< 6 hours per day).
  • Stand, walk, sit, hearing, talking, use of hands and fingers, hand-eye coordination, reach outward, reach above shoulder, climb, squat or kneel or bend
  • Regularly required to work on multiple concurrent tasks with constant interruptions
  • Lift, carry, push and/or pull up to a maximum of 25 lbs. without assistance
  • Other Physical Requirements:
  • Must wear the proper personal protective equipment (PPE)
  • Closed-toed shoes
  • Hard hats with chin strap; chin strap must be worn at all times while on elevated surfaces
  • Protective eyewear
  • Hearing protection if required by the hearing conservation program

Work Environment:

May be exposed to some of the following working conditions.

  • Ability to interface effectively with all departments to foster a success-oriented, deadline driven organization
  • Good analytical & organizational skills, able to make sound decisions utilizing the data at hand
  • Must have mechanical aptitude and good math skills
  • Ability to demonstrate professionalism & diplomacy to include telephone etiquette
  • Demonstrates strong customer service, exercises diplomacy and maintains the highest level of confidentiality
  • Computer Literacy: Microsoft Office Software (Word, Access, Excel) and ERP
  • Knowledge of operating standard office machines and telephone system.
