Job description

Job Summary

The Product Ops Administrator at Candle Science plays a key role in executing and supporting the operational activities that drive the product lifecycle from ideation through launch.  Reporting directly to the Product Operations and Lifecycle Manager, this role is responsible for maintaining product data, protecting product data integrity, executing product launch workflows, and facilitating communication across departments throughout the product lifecycle.   The position requires a balance of organization, execution, attention to detail, and collaboration and contributes to CandleScience's success by enabling efficient, accurate, and timely product launches.  

Key Responsibilities
  • Supports the execution of product launches from product approval through publication on the CandleScience ecommerce platform.
  • Provides timely status updates to stakeholders regarding product launches, changes, delays, risks, and new developments.
  • Maintains SKU information, digital assets, and product documentation within Solidus, Deposco, and other business systems with a high level of accuracy and attention to detail.
  • Supports project workflows, timelines, and task tracking within ClickUp or similar project management platforms to enable effective cross-functional execution.
  • Identifies operational bottlenecks and proposes workflow or automation enhancements to increase team efficiency and launch throughput.
  • Monitors inbound product shipments and production boards, identifying and escalating potential timeline risks to the Product Operations & Lifecycle Manager
  • Audits and maintains product data, documentation, and related information to ensure accuracy across systems.
  • Coordinates the handoff of product samples to the Photography Team and ensures final assets are accurately associated with ecommerce listings.
  • Ensures the Operations Team has the product information, documentation, and data needed for labeling, production, and fulfillment.
  • Supports launch-day readiness by coordinating required documentation, marketing assets, inventory availability, and other operational requirements.
  • Administers the Post-Launch Retrospective process by scheduling meetings, gathering feedback, and organizing information for review by the Product Operations & Lifecycle Manager.
  • Maintains SOP documentation and ClickUp workflows based on processes established by the Product Operations & Lifecycle Manager.
  • Performs other related duties as assigned by supervisor.

Requirements

Required Skills / Abilities
  • Bachelor's degree or equivalent experience, with 2-4 years of experience in product operations, project coordination, ecommerce, manufacturing, consumer products, or related fields.
  • Strong understanding of product lifecycle coordination, project tracking, and cross-functional workflows.
  • Proven ability to prioritize multiple tasks and deadlines while maintaining exceptional attention to detail.
  • Experience maintaining accurate business data across multiple software platforms.
  • Familiarity with ClickUp, Solidus, Deposco, Microsoft Office, Google Workspace, or similar business applications.
  • Experience with content management systems (CMS) and maintaining website content.
  • Demonstrated ability to learn new software platforms and tools independently.
  • Excellent written and verbal communication skills.
  • Ability to collaborate effectively across multiple departments and build strong working relationships.
  • Strong organizational skills, initiative, and demonstrated mindset for continuous process improvement.
Work Environment

This role is based in Durham, NC and may be offered in a hybrid format, depending on business needs and budget considerations. Team members may be required to work onsite 2-3 days a week. The position requires significant time spent working at a computer, participating in meetings, maintaining documentation, and collaborating across departments. The role may require occasional physical tasks, including lifting and moving products or materials weighing up to 25 pounds.
