Role Summary

The Indirect Procurement Specialist role is a critical addition to support the company’s growing operational, vendor management, and procurement coordination needs across both corporate and warehouse operations. This role will help improve operational efficiency by ensuring the timely processing and tracking of purchase requisitions (PRs) and purchase orders (POs), maintaining accurate procurement and vendor records, and supporting compliance with internal controls, documentation standards, and audit requirements.

This position will provide execution-focused indirect procurement support across vendor sourcing, onboarding, documentation review, quote collection, and RFQ/RFP coordination while ensuring continuity of day-to-day procurement administration and operational purchasing activities. By centralizing procurement operations, the role will help reduce processing delays, improve cross-functional collaboration, minimize administrative errors, and strengthen procurement consistency across departments.

This role primarily supports indirect procurement activities, including operational purchasing, vendor services, facilities-related purchasing, warehouse operational support, office and business services, logistics-related services, and other non-inventory procurement needs. This is not a direct materials, manufacturing sourcing, or inventory purchasing role.

In addition, this position will support indirect procurement activities for the company’s two warehouse and distribution facilities, including operational supplies, vendor coordination, facilities-related purchasing, logistics support services, and general operational procurement needs.

Overall, this position plays an important role in strengthening procurement efficiency, operational consistency, vendor management processes, and the company’s ability to scale business operations with effective operational and administrative support.

This is an Onsite role M-F 9am-6pm.

Responsibilities
  • Support day-to-day indirect procurement operations for corporate and warehouse teams
  • Process and track purchase requisitions (PRs) and purchase orders (POs)
  • Maintain procurement records, vendor files, contracts, and purchasing documentation
  • Coordinate vendor onboarding, vendor documentation collection, and compliance tracking
  • Assist with RFQ/RFP processes, vendor quote collection, bid comparisons, and supplier communications
  • Support sourcing activities for operational, facilities, warehouse, and business service vendors
  • Coordinate procurement support for the company’s warehouse and distribution operations
  • Monitor purchasing timelines, vendor delivery schedules, and order status updates
  • Ensure procurement activities align with internal policies, approval workflows, and audit requirements
  • Assist with procurement reporting, spend tracking, and documentation management
  • Partner cross-functionally with Finance, Operations, Facilities, Warehouse, and other internal teams
  • Support continuous improvement efforts related to procurement workflows and operational efficiency
  • Perform additional procurement and operational support duties as assigned

Requirements

  • Bachelor’s degree preferred or equivalent relevant experience
  • 2–5+ years of experience in indirect procurement, purchasing, procurement operations, vendor management, or related operational support roles
  • Experience supporting purchase requisition (PR) and purchase order (PO) processes
  • Familiarity with vendor onboarding, procurement documentation, and procurement compliance processes
  • Experience supporting indirect procurement activities such as operational purchasing, vendor services, facilities support, office operations, warehouse support services, or business-related procurement activities preferred
  • Experience supporting warehouse, facilities, logistics, or operational purchasing activities is highly preferred
  • Experience focused primarily on direct materials purchasing, inventory buying, production planning, or manufacturing sourcing alone may not be sufficient for this role
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Strong attention to detail and follow-through
  • Proficiency with Microsoft Office Suite, particularly Excel
  • Experience with ERP, procurement, or purchasing systems preferred
  • Strong communication and cross-functional coordination skills
  • Ability to work onsite in Irvine, CA
Preferred Background
  • Experience supporting indirect procurement within corporate, distribution, logistics, warehouse, manufacturing, or operational environments
