Job description

The Procurement Assistant will support in the day-to-day operations of inventory management of our liquid fuels and the logistics of our product disbursement from supplier depots, rail sites, and pipelines to our retail bulk storage locations.
Work schedule is Monday-Friday 12pm-8pm and some weekend coverage as needed.
The Procurement Assistant will work out of the Westminster, Maryland office with the possibility of becoming a hybrid position in the future.
$19.74-$22.16 per hour.
Requirements
  • Proficient in computer technology including Word, Excel, Access, and Outlook.
  • Excellent written, oral, and interpersonal communications skills.
  • Strong math, analytical, and problem-solving skills.
  • Ability to work in a fast-paced environment.
  • Ability to multitask.
  • Valid driver’s license
  • Access to a motor vehicle and capacity to travel

Responsibilities
  • Monitor all liquid product inventory levels for customers and company owned locations.
  • Ensure all fuel management solutions (Anova, Insite 360, FuelCloud etc.) function properly and provide accurate reporting for internal and external contacts.
  • Manage the day-to-day inventory of all internal and external storage locations utilized by Tevis Energy in a cost-effective manner while maintaining compliance and policies.
  • Schedule, track, and maintain records of all sourcing and incoming loads to internal and external facilities for company and/or customers.
  • Confirm all common carriers receive their orders in a timely manner.
  • Support procurement team in executing on the Tevis Energy fuel supply plan which includes contracts, new acquisitions, sourcing, pricing, throughput, and billing of incoming inventory.
  • Provide internal/external haulers supply points for loading after 6pm price changes. (This process occurs each evening after 6pm Monday-Friday).
  • Guarantee that all fixed price, spot, basis, and all other benchmarked contract deals are lifted when specified.
  • Maintain daily tracking reports including, however, not limited to, inventory management, throughput, pricing, market analysis, and RFP tracking.
  • Ensure a timely and accurate bill-of-lading process is executed and address billing issues directly with hauler, terminal and/or suppliers and rectify.
  • Foster and develop external relationships with common carriers, customers, suppliers, terminals, and thru-put partners.
  • Foster and develop internal relationships with operations and accounting teams.
  • Responding to emails, answering calls, questions, and resolving issues for external (suppliers/haulers) and internal (operations, accounting, customer experience) customers.
  • Processing the setup of new loading facilities, suppliers, internal drivers, and haulers with the accounting department, accounts payable, and IT team.
  • Maintain professional environments for all customers and team members.
  • Recommend programs which will help grow and improve procurement operations.
  • Provide internal and external customers, brokers, and vendors with consistent, quality service in accordance with company procedure.
  • Ensure our mission, vision, and pillars are upheld in all decision-making.
  • Complete all other projects and objectives on time assigned by the Director of Fuel Procurement.
