Job description

Procore Administrative Assistant

Mullins Mechanical is a leader in industrial and large commercial mechanical, plumbing, HVAC construction projects. Our projects are often in the industrial and manufacturing environments, such as manufacturing facilities, automotive plants, chemical plants, distribution centers, warehouses, and other large commercial facilities. We are a self-performing specialty contractor specializing in design-build applications, HVAC systems, plumbing, process piping systems, boiler and chiller systems, equipment installation and rigging, plant relocation and maintenance, and metal fabrication.

Responsibilities:

  • Support the administration, maintenance, and optimization of the company's Procore platform across multiple projects and business units.
  • Assist with the setup of new projects in Procore, including project creation, templates, permissions, workflows, and directory management.
  • Maintain project data integrity by ensuring project information, users, documents, and records remain accurate and up to date.
  • Provide daily support to project teams by troubleshooting Procore issues and responding to user questions in a timely manner.
  • Assist with user account management, including onboarding, permission assignments, license management, and deactivation of users.
  • Support implementation and enforcement of company standards, workflows, and best practices within Procore.
  • Coordinate with Project Managers, Project Engineers, Project Services, Accounting, Safety, and Operations to ensure consistent utilization of Procore across all projects.
  • Assist with document control activities including drawing management, specifications, RFIs, submittals, meeting minutes, and project correspondence.
  • Help develop and maintain training materials, user guides, and standard operating procedures for Procore.
  • Provide basic Procore training to new employees and assist with ongoing user education.
  • Monitor system usage and identify opportunities to improve efficiency, data quality, and user adoption.
  • Support Procore integrations with other company software platforms as directed.
  • Generate reports and dashboards to support project teams and company leadership.
  • Maintain confidentiality of company and project information.
  • Additional responsibilities may be assigned as needed.

Qualifications:

  • 3+ years of experience administering or supporting Procore within a commercial construction or construction-related environment.
  • Procore Administrator Certification strongly preferred.
  • Experience with Procore project setup, user permissions, workflows, and document management.
  • Working knowledge of commercial construction project processes, documentation, and terminology.
  • Experience supporting multiple concurrent projects in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Strong customer service/One Team mindset with the ability to work effectively with employees at all organizational levels.
  • Ability to troubleshoot software issues and provide technical support to end users.
  • Proficient in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Experience with construction management software such as Bluebeam, Trimble, or similar platforms is a plus.
  • Ability to prioritize multiple tasks, meet deadlines, and adapt to changing business needs.
  • Self-motivated, dependable, and capable of working independently as well as collaboratively within a team.
  • Must demonstrate professionalism, discretion, and a commitment to continuous improvement.
