Position Summary

The Executive Assistant serves as a trusted partner to the President and Executive Leadership Team by providing high-level administrative, organizational, and operational support. This role requires exceptional attention to detail, sound judgment, strong communication skills, and the ability to manage multiple competing priorities in a fast-paced environment.


The ideal candidate is highly organized, resourceful, proactive, and capable of anticipating needs before they arise. This individual must be comfortable handling confidential information, coordinating complex schedules, and ensuring executive priorities are effectively managed and executed.


Key Responsibilities

  • Provide direct administrative support to the President and Executive Leadership Team.
  • Manage complex calendars, schedules, and meeting coordination across multiple stakeholders and time zones.
  • Prioritize and resolve scheduling conflicts while ensuring executive time isutilizedeffectively.
  • Coordinate internal and external meetings, including preparing agendas, gathering materials, and tracking action items.
  • Draft, edit, proofread, and format correspondence, presentations, reports, and other business documents.
  • Prepare meeting summaries and follow up on outstanding tasks, deadlines, and commitments.
  • Partner with the President and Executive Leadership Team to track strategic initiatives, key deliverables, and organizational priorities, ensuring deadlines and commitments are met.
  • Monitor action items resulting from executive meetings and proactively drive follow-up to ensuretimelyexecution across departments.
  • Serve as a trusted liaison between executive leadership and internal stakeholders,facilitatingcommunication, accountability, and alignment on businessobjectives.
  • Lead and coordinate special projects on behalf of executive leadership, ensuring deliverables are completed accurately, professionally, and within established timelines.
  • Assistin the preparation of executive-level presentations, reports, dashboards, and briefing materials for leadership meetings, customer engagements, and strategic planning discussions.
  • Coordinate travel arrangements, including flights, lodging, transportation, and detailed itineraries.
  • Process expense reports andassistwith administrative tracking and reporting.
  • Maintain organized electronic and physical filing systems.
  • Support planning and execution of leadership meetings, company events, and executive off-site activities.
  • Represent the President and Executive Leadership Team with professionalism and discretion when interacting with employees, customers, partners, and external stakeholders.
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.
  • Anticipate executive needs and proactivelyidentifysolutions to administrative and operational challenges.
  • Support organizational initiatives and other duties as assigned.

Qualifications

  • 5+ years of experience supporting senior executives, C-suite leaders, or executive leadership teams.
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Demonstrated ability to exercise sound judgment andmaintainconfidentiality.
  • Highly proficient in Microsoft Office Suite, including Outlook, Word, PowerPoint, Teams, and Excel.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently while also collaborating effectively with leadership and staff.
  • Proven ability to prioritize tasks, meet deadlines, and adapt to changing business needs.
