Executive Assistant

Job description

Nujob is recruiting on behalf of a confidential, well-established global consumer products company headquartered in Scottsdale, AZ.

Are you the person who naturally keeps projects moving, notices the details others miss, and finds a way forward - even when you haven’t handled that exact situation before?

A vibrant, well-established global consumer products company is seeking an Executive Assistant to support its President. With international travel, major events, and new priorities always in motion, no two days here look exactly the same.

This role blends executive support, project coordination, communication, travel planning, and operational follow-through. You’ll help connect priorities, keep important work moving, and manage the details that allow the President and the wider organization to operate effectively.

You don’t need decades of executive-assistant experience. We’re more interested in your aptitude, judgment, initiative, and track record of succeeding in demanding roles. Experience in project management, event coordination, operations, or executive support could provide an excellent foundation.

What you’ll do

  • Manage the President’s calendar, priorities, meetings, and follow-up across multiple time zones.
  • Coordinate domestic and international travel, including flights, accommodations, visas, itineraries, and backup plans.
  • Help plan and execute company events, leadership meetings, and off-site gatherings.
  • Track projects, decisions, deadlines, and action items from start to finish.
  • Draft and polish emails, agendas, presentations, reports, and announcements.
  • Prepare the President for meetings by gathering the right materials and information in advance.
  • Communicate with leadership, employees, vendors, and international business partners.
  • Conduct research and organize information to support decisions.
  • Manage expenses, approvals, documents, and occasional personal-assistance needs.
  • Look for better ways to organize work, improve systems, and keep priorities moving.

You might be a great fit if you

  • Are exceptionally organized and genuinely enjoy creating order from complexity.
  • Notice small details without losing sight of the larger goal.
  • Have successfully coordinated projects, events, operations, or busy teams.
  • Learn quickly, take initiative, and are willing to try unfamiliar tasks.
  • Communicate clearly and professionally in writing and conversation.
  • Can be trusted with sensitive business and personal information.
  • Stay calm, resourceful, and good-humored when plans change.
  • Are comfortable working independently and asking thoughtful questions.
  • Have strong Microsoft Office skills, especially PowerPoint and Outlook.
  • Hold a valid passport and are excited by occasional global travel.

The rhythm of the role

This is an on-site position based in Scottsdale. The role may include two to four international trips each year.

Occasionally, you’ll need to answer a call or address something time-sensitive outside normal working hours, especially when the President is traveling. This is not intended to be an always-on position. The company values flexibility, balance, and making time to enjoy the experiences that come with being part of an energetic global organization.

Why join us?

You’ll have a front-row seat to executive leadership, international operations, and major company events. You’ll be trusted with meaningful responsibility, learn quickly, meet people from around the world, and have room to grow as your capabilities expand.

If you’re organized, curious, dependable, and energized by the idea that there is always something happening, we’d love to hear from you.

This confidential search is being managed by Nujob. The employer’s identity will be shared with qualified candidates at the appropriate stage of the hiring process.

We are an equal opportunity employer and consider qualified applicants without regard to any legally protected characteristic. Reasonable accommodations are available throughout the hiring process.
