The Opportunity

We are hiring an Operations Specialist to provide comprehensive administrative and clerical support across all Catalis departments. In this role, you would be responsible for general office duties including but not limited to managing the front desk, answering phones, and sorting and scanning mail and correspondence.


This is an onsite position in our Tallahassee office working 8:00am to 5:00pm.


What You Will Do

  • Open and sort mail by categories including incoming faxed and emailed correspondence
  • Scan and index, and create cases for all correspondence (incoming and outgoing)
  • Process outgoing mail to include operating the inserting/folding machine, operate the postage meter, collate daily system ordered letters
  • Complete Letter compliance review
  • Complete Payroll compliance review
  • Perform Education Management Account (EMA) verification
  • Data entry of incoming checks received via mail
  • Prepare Special Letter Requests, cover letters, etc.
  • Order office supplies
  • Stock kitchen
  • Act as the Liaison for various office vendors
  • Forward invoices to Accounts Payable
  • Assist in processing items during peak season
Requirements:

  • High school diploma or equivalent is required
  • Team player, excellent communicator, self-starter
  • Ability to manage multiple assignments within stated time frames
  • Strong problem resolution skills
  • Persuasive and well-articulated oral and written communication skills
  • Demonstrated leadership and analytical skills are required
  • Must be methodical with strong organizational skills and the ability to exercise sound judgment
  • Very strong attention to detail
  • Microsoft Office Suite experience (Word, Excel, Outlook, etc.)
