AlphaGraphics – Madison, WI

In person position.  40 hours per week with optional overtime as needed.

We’re looking for a motivated, detail-oriented Inside Sales & Operations Administrator to join our team. This role is ideal for someone who enjoys working with clients, managing projects, and leveraging technology to drive efficiency and revenue.

You’ll play a key role in handling incoming opportunities, building estimates, managing workflows, and ensuring projects move smoothly from concept through production.

What You’ll Do

  • Respond to incoming calls, emails, and online inquiries with a solutions-focused, sales-minded approach
  • Estimate and manage print projects—from digital print to signage and environmental graphics
  • Identify opportunities to enhance project scope and value
  • Build strong client relationships through clear, proactive communication
  • Prepare and send proofs for customer approval
  • Enter and manage jobs in PrintSmith (training provided)
  • Support direct mail projects including file setup and mail merges
  • Partner with production and design teams to ensure successful project execution

Technology & Systems

  • Work with tools like Excel, PrintSmith, and XMPie (or willingness to learn)
  • Assist with website and online ordering (u-store) updates
  • Maintain pricing, materials, and product updates in internal systems
  • Leverage technology, including AI tools, to improve efficiency and accuracy
