GENERAL PURPOSE OF JOB

The Sourcing Solutions Print Specialist supports the execution of print sourcing and production activities by coordinating projects from initial request through final delivery. This role is responsible for organizing and validating print specifications, soliciting production solutions and competitive quotations from approved suppliers, evaluating supplier responses, negotiating pricing, and preparing accurate client proposals. The Specialist works closely with internal teams, clients, and suppliers to ensure projects are delivered on time, within budget, and in accordance with quality, service, and client expectations. By following established sourcing processes and company standards, the Specialist helps deliver cost-effective print solutions while providing exceptional customer service and supporting continuous improvement initiatives.

KEY RESPONSIBILITIES

  • Manage assigned print and related sourcing projects from initiation through delivery using established processes and procedures. 
  • Coordinate project schedules, production milestones, and supplier activities to ensure timely completion. 
  • Monitor project status and communicate updates to internal teams and clients. 
  • Maintain accurate project documentation, purchase orders, and production records. 
  • Support billing reconciliation and project closeout activities. 
  • Review project specifications for completeness prior to requesting supplier quotations. 
  • Solicit quotations from approved suppliers following established sourcing guidelines. 
  • Compare supplier pricing, capabilities, and delivery options and provide recommendations to management or senior team members. 
  • Prepare purchase orders and maintain supplier documentation. 
  • Assist in resolving supplier issues related to production, quality, or delivery. 
  • Serve as a primary day-to-day contact for assigned projects. 
  • Provide responsive communication to internal stakeholders, clients, and suppliers throughout project execution. 
  • Escalate issues, risks, or exceptions when appropriate. 
  • Build positive working relationships that support successful project outcomes. 
  • Coordinate production schedules, proofs, samples, shipping, and delivery. 
  • Verify production specifications and monitor quality throughout the production process. 
  • Assist in resolving production challenges by coordinating with suppliers and internal resources. 
  • Ensure required tracking information and production updates are communicated promptly. 
  • Follow established sourcing, procurement, and production procedures. 
  • Maintain project files, reports, and system documentation accurately. 
  • Identify opportunities to improve workflows and communicate recommendations to leadership. 
  • Participate in department meetings, training, and process improvement activities. 
  • Collaborate effectively with Client Services, Account Management, Production, Finance, and other internal departments. 
  • Share knowledge and best practices with team members. 
  • Support department initiatives and special projects as assigned.

JOB REQUIREMENTS

Education: 

  • Associate degree or equivalent work experience preferred. 
  • Bachelor's degree in Business, Supply Chain, Printing, Marketing, or related field is a plus.

Experience:

  • 2–5 years of experience in print production, print purchasing, sourcing support, project coordination, or related operational roles. 

  • Experience coordinating multiple projects in a deadline-driven environment preferred

Knowledge, Skills & Abilities: 

  • Working knowledge of commercial print production processes. 

  • Familiarity with print purchasing and supplier coordination. 

  • Strong organizational and time management skills. 

  • Excellent written and verbal communication skills. 

  • Ability to prioritize multiple assignments.

  • Strong attention to detail. 

  • Proficiency with Microsoft Office applications. 

  • Experience using project management or procurement systems preferred.
