What is print management?

Print management refers to the process of overseeing and optimizing a company's print-related activities, including printers, copiers, and related resources. It involves managing print devices, controlling printing costs, improving efficiency, and ensuring secure document handling. Print management solutions often include software and services that help monitor usage, automate supply ordering, and implement print policies. This role can help businesses reduce waste, save money, and maintain better control over document production.

What are some common challenges faced in a print management role and how can they be addressed?

Professionals in Print Management often face challenges such as coordinating multiple print jobs with tight deadlines, managing vendor relationships, and ensuring consistent quality across projects. Effective communication and strong organizational skills are essential to navigate these demands. Proactively setting clear expectations with both internal teams and external vendors, as well as leveraging print management software to track progress, can help address these challenges and ensure smooth project delivery.

What are the key skills and qualifications needed to thrive as a print management professional, and why are they important?

To thrive in Print Management, you need expertise in print production processes, project management, and vendor coordination, often supported by a degree in graphic communications or a related field. Familiarity with print management software, prepress tools, and workflow automation systems is typically required. Strong organizational abilities, attention to detail, and effective communication help professionals excel in coordinating projects and resolving issues. These skills ensure timely, cost-effective, and high-quality print solutions that meet client and organizational needs.

Job description

ABOUT ALPHAGRAPHICS NW SAN ANTONIO
AlphaGraphics NW San Antonio is a premier visual communications, print, and sign shop dedicated to helping local and regional businesses grow. As a locally owned franchise connected to a strong regional network of four Central Texas locations, we combine the personalized feel of a close-knit shop with the deep resources, advanced technology, and stability of an established regional group.
We take pride in fostering a high-energy, supportive, and team-oriented work environment. When you join our team, you aren't just taking an entry-level job—you are stepping into a collaborative network with genuine career growth and long-term advancement opportunities.

POSITION SUMMARY
We are looking for an enthusiastic, highly organized, and customer-focused Full-Time Entry-Level Sales Assistant to join our NW San Antonio team. In this pivotal role, you will serve as the central operational backbone for our Inside and Outside Sales Representatives. You will interact directly with customers, streamline print order workflows, receive digital files, and support the sales cycle from initial inquiry to final delivery.
If you thrive in a fast-paced environment, love problem-solving, and excel at customer interaction both in person and over the phone, this is the perfect opportunity to launch your career in marketing communications and print production management!

KEY RESPONSIBILITIES & DUTIES
  • Customer Service & Inquiries:  Serve as the first point of contact for client inquiries via phone, email, and front-desk walk-ins with a warm, professional demeanor.
  • Quote Vetting & Processing:  Review incoming quote requests, collect project details (quantity, materials, turnaround time), and route/vet requests accurately for the sales team.
  • File Preflight & Prep:  Inspect and preflight customer-supplied artwork files using preflight software/Adobe Acrobat to ensure proper resolution, bleed, color format, and print readiness.
  • Job Tracking & Workflow:  Monitor work-in-progress queues, pull active jobs forward in our print management system, and keep production schedules moving seamlessly.
  • Outbound Client Follow-Up:  Conduct routine outbound calls to follow up on pending quotes, notify clients when orders are ready for pickup, and check in on re-order needs.
  • Sales Team Support:  Assist inside/outside sales representatives with job entry, administrative tasks, customer communication, and sales reporting.
  • Team Collaboration:  Maintain accurate records in our system and collaborate seamlessly with our design, production, and regional sister locations.

QUALIFICATIONS & REQUIREMENTS
  • Communication Skills:  Exceptional written and verbal communication skills; comfortable and engaging on the phone and face-to-face.
  • Organizational Aptitude:  High level of organization, keen attention to detail, and ability to manage multiple priorities in a dynamic environment.
  • Computer Literacy:  Proficient in Microsoft Office Suite (Word, Excel, Outlook). Ability to quickly master print management software and file utilities.
  • Team Player:  Strong collaborative mindset; willing to step in and support team members across departments.
  • Experience:  Prior customer service, retail, office administration, or print/marketing experience is a plus, but NOT required—we will train the right candidate!

COMPENSATION & BENEFITS
  • Hourly Pay:  Competitive pay range of $17.00 – $20.00 per hour (depending on background and experience).
  • Paid Time Off (PTO):  Accrued PTO, Company Holidays, and Birthday
  • Insurance:  Company subsidized coverage including Health, Dental, and Vision plans.
  • 401(k) with Company Match:  401(k) retirement plan with employer matching contributions.
  • Professional Development:  Complete training on print production workflows, sales software, and graphic preflight standards.
WHY JOIN ALPHAGRAPHICS? CAREER ADVANCEMENT OPPORTUNITIES
Because our location is connected with three other Central Texas AlphaGraphics centers, you become part of a larger, highly supportive network. We believe in promoting from within! For high-performing candidates, this Entry-Level Sales Assistant role serves as a proven launchpad toward advanced positions such as Inside Sales Representative, Account Manager, Print Production Coordinator, or Outside Sales Account Executive across our regional locations.

The employer posting this position, evaluating potential candidates and making all hiring decisions is an independently owned and operated AlphaGraphics, Inc. franchisee. If hired, Franchisee will be your employer, not AlphaGraphics, Inc. or any of its affiliates or any other franchisees.
