Prepress Manager & Workflow Specialist

Position Summary

The Prepress Manager & Workflow Specialist is responsible for preparing customer files for production, maintaining prepress workflows, and supporting smooth communication between CSR, sales, press, and bindery. This role requires strong technical skills, attention to detail, and the ability to manage multiple priorities in a fast‐paced environment. The ideal candidate is organized, steady under pressure, and committed to delivering accurate, press‐ready work.

Key Responsibilities

File Preparation & Prepress

  • Review, correct, and prepare customer files for print using Adobe Creative Cloud and related tools
  • Perform imposition work using Preps or similar software
  • Ensure all jobs meet internal standards for accuracy, color, bleed, and finishing requirements
  • Identify missing information (stock, size, assets, approvals) and pause jobs until resolved
  • Maintain a high level of quality control throughout the prepress process

Workflow & Systems

  • Operate within established prepress workflows (e.g., Prinergy)
  • Maintain naming conventions, folder structures, and documentation standards
  • Assist in developing or refining workflows to improve efficiency and consistency
  • Troubleshoot file, RIP, and workflow issues using structured diagnostic methods
  • Coordinate with vendors and technical support when needed

Cross‐Department Collaboration

  • Communicate clearly with CSR, sales, press, and bindery to resolve questions and prevent errors
  • Provide realistic timelines when faced with multiple jobs
  • Offer options and solutions when conflicts arise
  • Support a positive, low‐drama production environment

Quality & Customer Considerations

  • Understand customer‐specific tolerances and proofing expectations
  • Exercise judgment on when to pause and when to proceed
  • Ensure all work is press‐ready and aligned with downstream requirements

Qualifications

Required

  • Experience in prepress, print production, or a related field
  • Proficiency with Adobe Creative Cloud (InDesign, Illustrator, Photoshop)
  • Familiarity with prepress workflow systems (Prinergy preferred)
  • Understanding of imposition concepts and tools (Preps or equivalent)
  • Strong organizational skills and attention to detail
  • Ability to communicate clearly and professionally across departments
  • Calm, solution‐oriented approach to problem‐solving

Preferred

  • Experience creating or modifying workflow templates
  • Comfort working with files from non‐traditional sources (Office, Canva, etc.)
