Minimum Qualifications: High School Diploma and eligible to be bonded
Preferred Qualifications: Bachelor's degree in accounting, business management, or related field, experience with public purchasing, knowledge of cash accounting, experience with school financial processes.
REPORTS TO: Business Manager
JOB GOAL: To assist with the processing of business operations necessary to carry out the educational mission of Bremen Public Schools.
PERFORMANCE RESPONSIBILITIES:
  1. Provide confidential administrative support to the district leadership team.
  2. Prepare Board of School Trustees meeting agendas and packets in collaboration with the Business Manager and Superintendent.
  3. Compile, distribute, and maintain board meeting materials and supporting documentation.
  4. Maintain official board records, policies, resolutions, and governance documents.
  5. Ensure compliance with public notice requirements, open meeting laws, and other applicable regulations.
  6. Preparation and processing of purchase orders, payments to vendors, and accounts payable-related documentation.
  7. Manage calendars, schedules, appointments, and meeting logistics as needed by the Business Manager and Superintendent.
  8. Prepare correspondence, reports, presentations, memoranda, and district communications.
  9. Screen and direct telephone calls, emails, and visitors in a professional manner.
  10. Coordinate district-wide meetings, events, and special projects as needed.
  11. Maintain organized filing systems and accurate district records.
  12. Process and maintain official district records in accordance with state and federal requirements.
  13. Assist with public records requests and record retention procedures.
  14. Organize and archive district documents according to established retention schedules.
  15. Maintain confidential personnel, board, and administrative files as assigned.
  16. Monitor office supply inventories and coordinate purchasing as needed.
  17. Prepare and process contracts, agreements, and other district documents.
  18. Assist with grant documentation, reporting, and compliance requirements when assigned.
  19. Serve as a professional point of contact for staff, parents, community members, and outside agencies.
  20. Assist with district newsletters, website updates, public notices, and other communications.
  21. Coordinate communication among the Superintendent, Board of School Trustees, administrators, and stakeholders.
  22. Maintain strict confidentiality regarding personnel matters, student information, legal issues, and district business.
  23. Ensure compliance with all applicable federal, state, and local laws, regulations, and district policies.
  24. Remain informed regarding changes in educational laws, governance requirements, and administrative procedures.
  25. Provide backup support for other central office functions as needed.
  26. Assist with district initiatives, strategic planning activities, and special events.
  27. Maintain a professional office environment that promotes positive public relations and customer service.
  28. Other duties as assigned

TERMS OF EMPLOYMENT: Eight hours per day, two hundred sixty (260) days at a salary determined by the Board of School Trustees
