We are looking for a talented Office Manager to join our team!
Location: Nashville TN - Onsite
In this role, you will make an impact in the following ways:
  • Enables and ensures the site is safe, available, operational and demonstrates the culture and character of the organization.
  • Receives visitors and supports individual, department, or site staff by promptly, courteously and accurately addressing requests for assistance.
  • Acts as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others.
  • Provides support to the admin team facilitating any on-site meetings, activities and events.
  • Performs numerous duties, including scheduling meeting rooms, supporting visitors, event planning and coordination, and answering questions and requests for some of the executive leadership team.
  • Performs activities under limited supervision.

Responsibilities
Responsibilities:
  • Acts as the organization's first point of contact for visitors and/or callers while ensuring professional communication.
  • Receives and directs calls in a courteous and efficient manner.
  • Welcomes visitors, ensures and maintains proper sign-in documents and explains/follows safety procedures.
  • Completes all incoming and outgoing mail requirements, including courier services and manages maintenance of the postage machine as applicable.
  • Schedules appointments, meetings and books conference rooms.
  • Orders lunch for both employees and visitors.
  • Manages the office supplies stockroom, places office supplies orders and maintains effective administration.
  • Contacts vendors and suppliers as requested to advise of plant/site shutdowns and other disruptions in service.
  • Maintains badges for new hires, contractors and visitors.
  • Supports administrative projects as assigned.
  • Provides other administrative support activities where required.
  • Ensure all maintenance issues are identified and provide appropriate response and resolution.
  • Act as a site health, safety, and environmental team member and will be responsible for monthly reporting.
  • Manage and keep up to date site level documentation.
  • Responsible for implementing the site strategy and plan.

Education, Licenses, Certifications
High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
Experience:
Previous office management, reception, executive admin, or hospitality services are desirable. Other transferrable experience considered.
Base salary range: $55,195 to $61,326/year
Please note that the salary range provided is a good faith estimate on the applicable range. The final salary offer will be determined after considering relevant factors, including a candidate's qualifications and experience, where appropriate.
Compensation and Benefits
Base salary rate commensurate with experience. Additional benefits vary between locations and include options such as our 401(k) Retirement Savings Plan, Medical/Dental/Life Insurance, Health Savings Account, other personal and professional benefits.
