Job description

Position Summary
The Port Operations Coordinator supports the daily operations of the terminal by coordinating vehicle and cargo movements, maintaining operational documentation, processing terminal invoices, and ensuring efficient communication between customers, carriers, vessel operations, and internal departments. This role is responsible for supporting terminal operations, maintaining accurate records, assisting with regulatory and operational compliance, and ensuring timely processing of operational paperwork.
Key Responsibilities
  • Coordinate daily vehicle, trailer, container, and cargo movements throughout the terminal.
  • Process terminal invoices, purchase orders, and operational billing accurately and timely.
  • Maintain vessel schedules, equipment locations, and operational records.
  • Coordinate freight bills, delivery receipts, and customer paperwork.
  • Assist customers, carriers, and internal departments with operational inquiries.
  • Support yard operations by coordinating vehicle releases and deliveries.
  • Assist with damage reporting, claims documentation, and operational discrepancies.
  • Coordinate with vendors, contractors, and terminal personnel to ensure smooth daily operations.
  • Maintain accurate operational reports, inventories, and documentation.
  • Assist with hazmat documentation, regulatory reporting, and compliance requirements.
  • Ensure paperwork is complete and deadlines are met across multiple departments.
  • Support vessel operations and other terminal projects as assigned.
Qualifications
  • Bilingual (English/Spanish) preferred.
  • 2–4 years of experience in terminal, transportation, logistics, maritime, or port operations preferred.
  • Experience processing invoices, purchase orders, or operational billing preferred.
  • Strong administrative, organizational, and customer service skills.
  • Excellent communication skills with the ability to coordinate across multiple departments.
  • Proficient in Microsoft Office and transportation or terminal management systems.
  • Ability to multitask in a fast-paced operations environment.
  • Ability to obtain Port Security Clearance (TWIC badge)
