What is podcast booking?

Podcast booking is the process of arranging and scheduling guests to appear on podcast shows. This role typically involves researching suitable guests, reaching out to potential interviewees, coordinating schedules, and handling communication between the podcast host and the guest. Effective podcast booking helps ensure that podcasts feature engaging, relevant, and diverse voices, which ultimately enhances the show's content and audience appeal.

What are the key skills and qualifications needed to thrive as a Podcast Booking Specialist, and why are they important?

Thriving as a Podcast Booking Specialist requires strong organizational skills, attention to detail, and familiarity with podcasting and media landscapes, typically supported by past experience in public relations or booking roles. Proficiency with scheduling tools like Calendly, podcast databases, and CRM systems is commonly needed. Excellent communication, relationship-building, and negotiation skills help specialists secure high-quality guests and maintain positive partnerships. These abilities are crucial for efficiently managing bookings, enhancing podcast content, and ensuring smooth collaboration between hosts and guests.

What are some common challenges faced by podcast bookers when sourcing and securing high-quality guests?

Podcast bookers often encounter challenges such as identifying guests who align with the show's audience and theme, competing with other podcasts for high-profile guests, and managing complex scheduling logistics. Building relationships with potential guests and their representatives requires strong communication skills and persistence. Additionally, bookers must be adept at researching and pitching guests in a way that highlights mutual benefits, while also handling last-minute cancellations or changes efficiently.

Job description

Placement Type:
Permanent
Salary:
$80,000-100,000 Salary
Start Date:
Jul 27, 2026
*There are two levels: PR Specialist & PR Coordinator*
About the Role
We are a high-growth consumer brand portfolio in the middle of an exciting brand evolution, and we are looking for a dynamic PR Specialist to serve as the second seat on our high-output, in-house communications team. Reporting directly to the Senior PR Manager, this is not a sideline coordination role. You will be actively pitching journalists, drafting high-impact media materials, running the day-to-day operations of our customer storytelling and brand ambassador repository, and occasionally stepping in front of cameras and microphones as a named spokesperson.
This role offers immense surface area for an ambitious communications professional looking to accelerate their career. Working shoulder-to-shoulder with leadership, you will touch every dimension of corporate and brand PR: tier-one pitching, executive visibility, trend-hijacking, awards, and transatlantic agency coordination. You will own distinct media beats and pitching streams, making this the perfect launching pad to step into a senior management role within two to three years.
Who Should Apply
We care more about professional wiring and drive than a perfect resume match. We are highly receptive to candidates from the following backgrounds:
  • Mid-level agency operators (Account Executive to Senior Account Executive) at consumer, lifestyle, or corporate shops who want to move in-house.
  • Former reporters or junior editors looking to translate their newsroom instincts and media networks to the brand side.
  • In-house PR coordinators at high-growth consumer companies who thrive in scrappy, entrepreneurial environments.
  • Communications generalists from fast-moving startups who know how to build momentum without a massive corporate blueprint.
Core Responsibilities
Writing, Pitching & Media Relations
  • Draft comprehensive press releases, media alerts, pitch emails, op-eds, Q&As, executive bios, and briefing books for managerial review.
  • Pitch journalists, editors, podcast bookers, producers, and digital influencers directly across your assigned media beats.
  • Build and maintain a robust network of media relationships across consumer tech, lifestyle, business, and modern culture verticals.
  • Respond to inbound media inquiries with exceptional speed and accuracy, routing information cross-functionally as needed.
  • Monitor databases like Qwoted and HARO daily to capture active, short-turnaround media opportunities.
  • Drive proactive trend-hijacking initiatives by flagging emerging news cycles and pairing them with rapid-response pitch drafts.
  • Maintain strict AP-style standards across all written materials prior to internal distribution.
Customer Storytelling & Ambassador Program
  • Manage the day-to-day operations and growth of our customer case-study and brand ambassador program.
  • Recruit a diverse pipeline of real-world brand users willing to share their experiences with regional and national media outlets.
  • Vet program participants for media-readiness, and thoroughly brief them on journalist angles, message tracks, and compliance guidelines prior to interviews.
  • Match real-world storytellers to active journalist requests under tight deadlines.
  • Oversee administrative compliance, including NDAs, release forms, and post-interview follow-ups.
Spokesperson & Executive Visibility Support
  • Serve as an authorized, on-camera or audio spokesperson for the brand portfolio when called upon or during high-volume media cycles.
  • Maintain constant personal media-readiness, keeping talking points updated and participating in corporate media training.
  • Support the pipeline of podcast, broadcast, and panel opportunities for our executive leadership team.
  • Draft executive briefing materials, narrative arcs, and messaging sheets ahead of public appearances.
  • Identify and coordinate submissions for meaningful industry, business, and culture awards.
Agency Coordination & Operations
  • Serve as the primary operational liaison for our outside US and international agency partners.
  • Facilitate weekly status calls, monitor campaign deliverables, and ensure external teams hit their milestones.
  • Quality-control agency-drafted assets to guarantee alignment with core brand guidelines before internal sign-off.
  • Monitor daily media coverage using tools like Muck Rack, Cision, or Meltwater to compile weekly summaries and monthly ROI reports.
  • Maintain and organize the internal PR asset library, media lists, pitch calendars, and CRM workflows.
Required Qualifications
  • 3 to 5 years of professional experience across a PR agency, an in-house corporate communications team, or a fast-paced newsroom.
  • Bachelor's degree in Public Relations, Communications, Journalism, Marketing, or a related field (equivalent professional experience fully considered).
  • Proven track record of securing or meaningfully contributing to media placements across regional, trade, or national consumer outlets.
  • Exceptional writing, copyediting, and narrative development skills with a portfolio of external-facing work.
  • High AI fluency; demonstrated experience leveraging generative AI tools (such as ChatGPT or Claude) to accelerate workflows like trend research, media list building, and copy drafting.
  • Proficiency with PR tech stacks (Muck Rack, Cision, Meltwater, Qwoted) and project management software (Jira, Asana, Monday.com).
  • Complete comfort operating as a public-facing brand representative on camera or microphone when required.
Preferred Experience
  • Prior experience at a notable mid-to-large tier consumer or lifestyle PR agency.
  • Background working directly with founder-led or highly entrepreneurial consumer brands.
  • Experience managing consumer case studies, talent casting, or influencer coordination for earned media campaigns.
  • Experience navigating communications for brands operating in heavily scrutinized industries or undergoing major public re-positioning.
Cultural Fit & Environment
  • You Move Fast: You prioritize momentum and execution, favoring a strong, well-timed pitch today over a perfect one next week.
  • You Welcome Coaching: You view edits and direct feedback as a vehicle for growth and take pride in refining your craft.
  • You Are an Operator: You enjoy executing the work directly and don't view administrative tracking or platform management as beneath you.
  • You Take Ownership: You don't wait for permission to solve a problem; you identify a gap, build a fix, and loop your team in seamlessly.
