POSITION DESCRIPTION

Position: Church Administrator

Details: Part-time; Hourly Monday through Friday; Salary range $18-20/hr for 25-30 hrs/week

Benefits: Paid vacation, holidays, and sick leave. Discounted childcare tuition at River Hills UMC Early Childcare Center.

Church Administration is an important ministry for the smooth operation of the organization. The Church Administrator often interacts directly with the congregation and the community and therefore becomes the face and voice of the church. Whether it is a community member desperately looking for a church to hold the funeral of a loved one, or a member who is struggling to understand their giving statement, the Church Administrator is an integral part of the ministry team. An effective Church Administrator is the operational hub of the church staff. They also contribute to the accountability, integrity, and reliability of the organization. We want River Hills UMC to be a place where members of the congregation and community can connect with the church confidently and confidentially in all matters.

 

Accountability

·       Reports to the Lead Pastor

·       Interacts with all Committee Chairs when it comes to administrative functions of the church (facility, finance, scheduling, and reporting)

·       Works with volunteers and Church/ECC staff on all administrative matters

·       Access to the Staff Parish Relations Committee (i.e., human resources) for discussing concerns relating to the position and its dynamics

Ministry: First and foremost, we are in the business of being in ministry. We are in ministry with those with whom we work and with those who turn to us for inspiration, comfort, and leadership. Sometimes it is mundane and methodical. Other times it is impactful and monumental. When it doesn’t feel like ministry anymore, it’s time to move on or re-evaluate the things we are doing.

Major Position Responsibilities

Facility/Operations

·       Oversee and coordinate the use, care, and upkeep of the River Hills UMC facility through collaboration with the Board of Trustees, Church Staff, and volunteers.

o   This includes the scheduling of facility use, contracting custodial care, and negotiating/managing contracts with vendors for services (phone, internet, maintenance, etc.) and repairs (plumbing, electrician, etc.)

·       Assure office equipment (copiers, phones, internet, etc.) is functioning properly and office supplies are on hand to support the work of Church Staff and volunteers

·       Maintain proper filing systems in accordance with conference retention policy.

 

 

Finance

·       Interface with the Bookkeeper by preparing bills for payment, producing check requests, and assuring timely communication for payroll.

·       Manage financial contributions and prepare quarterly giving statements

·       Submit budget recommendations for office/administrative line items

·       Ensure that checks and balances are adhered to for financial accountability within the organization

·       Maintain proper cash handling policies and procedures.

Personnel

·       Administrate new hire paperwork

·       Maintain personnel files

·       Manage employee benefit records

·       Interface with Bookkeeper regarding payroll requests and changes in payroll.

·       Initiate background checks for volunteers and employees

·       Administrate worker compensation and disability claims

Communication

·       Receive, manage, and distribute mail received by the church

·       Manage and facilitate churchwide mailings

·       Answer incoming calls and emails during office hours

·       Attend weekly staff meetings as deemed necessary.

Reporting

·       Regular reporting to the Annual Conference as required

·       Requesting and distributing financial reports from the Bookkeeper to support the work of the committees.

·       Create Annual Report for the Church Conference. This includes...

o   Completion of Tables required by the Annual Conference

o   Tracking, managing, and maintaining reports regarding church membership, worship attendance, and ministry participation

o   Assembling reports received from pastors, other church staff, and church leadership

·       Maintain proper membership records including church attendance sheets, membership database etc.

Vision

·       Provide input to ministry staff to help evaluate, formulate, and execute a vision for the continuation and growth of the church

Ministry Support

·       Schedule pastoral visits with consultation of the ministry staff

·       Schedule communion visits with consultation of the ministry staff

·       Interface with families seeking services from the church (funerals, baptisms, weddings) and other needs as the arise with consultation from ministry and office staff

·       Provide support for ministry staff and committees as necessary

·       Perform any other areas of support as deemed necessary by the ministry, office staff, and committee chairs.

 

 

Qualifications and Technical Skills

·       By God’s grace, living in a genuine and authentic relationship with Christ, and consistently applying this relationship throughout their life.

·       Growing in a fuller understanding of the mission and beliefs of River Hills United Methodist Church and supporting it through this role.

·       Working knowledge in computer operation, particularly in the use of different software packages used for the administration of this job. (Microsoft Office, ServantKeeper)

·       Aptitude for learning new software systems

·       Ability to work within budget constraints

·       Working knowledge of copyright to ensure compliance

·       Ability to interact with church members and community members compassionately and confidentially

·       Genuine disposition of encouragement that encourages ongoing participation of members and inspires involvement from newcomers

·       Ability to build consensus while providing direction by listening to the input of others and moving decisively forward in a manner that demonstrates understanding and grace

·       Ability to work with a wide variety of talents, skills, giftedness, and personalities in the many aspects that lead to effective ministry

·       Proven experience in working with and assisting in securing volunteers to build the church

·       Access to reliable transportation

·       Successful background check

·       Successful training in Safe Sanctuary policies
