Job description

Plexos is seeking an experienced Operations Lead to support the Disaster Case Management team in New Mexico. The Operations Lead spearheads daily operations for the Disaster Case Management (DCM) program across the state. This role drives systems implementation, streamlines staffing and quality control, facilitates cross-functional collaboration, and empowers administrative and supervisory teams to focus on strategic field delivery.

About Plexos Group:

Plexos Group is a leading program delivery and project management company. Our experienced subject matter experts streamline large-scale and complex capital, infrastructure and disaster recovery projects funded by federal and other public and private sources. We design, staff, and manage all facets of programs across infrastructure, construction, education, housing, and healthcare vertical business lines. Since our founding in 2012, we’ve helped state and local governments, public agencies, school districts, and private stakeholders restore continuity and build resilience for the communities and constituents they serve.

Responsibilities:

  • Oversee staff workload assignments and coordination to ensure operational efficiency.
  • Support DCM Supervisors by handling administrative logistics, freeing them to focus on guiding their teams.
  • Lead the deployment and adoption of project management tools like Smartsheet, ProjexisTM, and data dashboards to unify workflows across intake, logistics, grants, and program leadership.
  • Foster a systems thinking mindset: design, integrate, and refine processes and tools to enhance transparency, coordination, and scalability.
  • Develop and maintain standard operating procedures, checklists, and operational guides to ensure consistent practices.
  • Document best practices and lessons learned – through debriefs, logs, and documentation – to promote continuous improvement.
  • Run quality control audits, spot-checks, and compliance reviews to uphold program standards.
  • Track performance deviations and recommend enhancements.
  • Prepare and maintain daily and weekly operational dashboards (e.g., quality incidents, staffing efficiency, system uptake).
  • Analyze trends and present data-driven improvement recommendations to leadership.
  • Collaborate with Program Managers, DCM Supervisors, Case Managers, Coordinators, and other project staff to ensure procedural alignment.

Additional Skills and Abilities:

  • Exceptional at managing fast-paced, high-stakes environments with shifting priorities.
  • Strong systems thinker with experience implementing tools like Smartsheet or similar platforms.
  • Superior written communication, with the ability to translate complex systems into accessible procedures, dashboards, and client-facing reports.
  • Proficient in staff scheduling, quality control, and operational reporting.
  • Collaborative, with demonstrated ability to align multi-disciplinary teams toward shared goals.
  • Knowledge and experience with federal programs is preferred.

Basic Qualifications:

  • 2+ years in operational coordination or supervisory roles, especially in fast-paced or crisis contexts.
  • 3+ years in case management, disaster recovery, social services, or related environments.
  • Track record in systems/tool implementation, policy creation, quality assurance, and operational analytics.
