Job Description: Administrative Assistant
Position Title: Administrative Assistant
Wage/Hour Status: Non-Exempt/At Will/Starting at $15 per hour
Reports to: Director/Principal
School: Campus Assigned
QUALIFICATIONS
Education:
- High School graduate
- 10 or more college hours toward an Associate Arts degree or undergraduate coursework preferred.
(Must have 60 college hours to be assigned to students)
CERTIFICATION:
- Hold or be willing to secure a current valid Texas Educational Aide Certificate, if assigned to Title I students preferred
SPECIAL KNOWLEDGE AND SKILLS

  • Excellent customer service and telephonre etiguette
  • Knowledge of Microsoft Office applications and how to use them
  • Knowledge of Google Suite application and how to use them
  • Comfortable using a computer for data collection and email
  • Experience in basic clerical functions
  • Possess basic office skills in word processing, data base management, Internet interface, spreadsheet use
  • Ability to follow guidance of the administrators
  • Attention to detail in completing financial records
  • Will need to learn or have knowledge of Public Education Information Management System (PEIMS) rules and office operational procedures
PHYSICAL ABILITIES

PURPOSE
The Administrattive Assistant (AA) works independently under the guidance of the Campus Director. The AA supervises the front office, communicates directions to others, maintains records, collects funds, enters purchase orders, oversees campus data entry (attendance and PEIMS), and other clerical functions. The AA keeps records according to the rules for PEIMS documents, performs general clerical and office record keeping tasks. The AA oversees attendance and enrollment, and works in tandem with the Campus Director to track and maintain campus financial and enrollment records. The AA may be called on to provide instructional services to assigned students, supervise students between classes, at playground, assist in re-teaching as needed and, assist in other activities of the school.
DUTIES AND RESPONSIBILITIES
  • Comply with the employee handbook
  • Perform duties assigned including general clerical and record keeping
  • Maintain accurate PEIMS, attendance and other records
  • Supervise students and provide a safe environment
  • Report any concerns to the Principal/Superintendent
  • Treat all parents, students and staff in a considerate and respectful manner
  • Complete all duties assigned by supervisor in a satisfactory manner
Management in one or more of the following areas
  • Manage collection of data from staff about student attendance, grades and transcripts
  • Manage operations of a campus office
  • Take direction for managing workflow of records assigned
  • Business office operations, accounts payable, purchase orders
  • Assist teachers as directed to supervise students at the school and off site
Instructional delivery
  • Assist teachers as directed to provide lesson activities that actively engage students in learning and maintain discipline
  • Assist teachers as directed to deliver all electronic, paper products, books, films or other appropriate media for use with students
  • Participate in staff development activities as assigned
WORKING ENVIRONMENT
  • Maintain emotional control under the stress of instructional operations
  • Be flexible in assisting others as requested
  • Participate in professional conferences

Retirement is through the Teacher Retirement System (TRS) of Texas and not Social Security. TRS requires five years of participation before any retirement funds are vested. Texas Workers Compensation covers workers in this position.
