Job Description

The Materials Planning Manager is responsible for leading two critical teams that support local purchase parts availability, procurement execution, and purchase order invoice reconciliation.

The first team is responsible for sourcing and purchasing locally purchased service parts from suppliers. This includes securing competitive quotes, managing supplier responsiveness, and monitoring the flow of purchased items to ensure material availability, prevent shortages, and support customer service and revenue objectives.

The second team, Materials Operations Analysts, is responsible for reconciling and resolving material purchasing activities related to invoice discrepancies. This includes supporting GRNI management, resolving PO invoice discrepancies, and ensuring timely, accurate processing to enable efficient supplier payment and strong financial controls.

This is a leadership role requiring a strong leader who can coach and develop talent, manage performance, drive process discipline, and partner effectively across Supply Chain, Procurement, Finance, Accounts Payable, Retail Planning, BOS, PGT, and field operations. The ideal candidate brings a blend of operational leadership, analytical capability, continuous improvement mindset, and cross-functional influence.

Key Responsibilities

  • Lead the daily operations of two teams responsible for:
    • sourcing and purchasing locally purchased service parts
    • PO, receipt, and invoice reconciliation related to materials planning activities
  • Lead the field purchasing team in executing timely, cost-conscious procurement of local purchased items while balancing service, cost, and inventory investment.
  • Manage the Materials Operations Analyst team to ensure timely processing of receipts, payables support, GRNI-related activities, and resolution of PO and invoice discrepancies.
  • Monitor and improve key performance indicators such as quote turnaround time, service parts availability, reconciliation cycle time, aging GRNI, process compliance, and team productivity.
  • Partner closely with Procurement, Finance, Accounts Payable, BOS, Retail Planning, PGT teams, Supply Stores, and other cross-functional stakeholders to resolve issues and drive strategic initiatives.
  • Lead and/or participate in projects focused on improving efficiency, accuracy, service, and financial control.
  • Ensure timely delivery of supplier quotes and locally purchased service parts to Supply Stores in support of customer service and revenue goals.
  • Oversee daily execution of PO reconciliation activities to ensure issues are resolved accurately and within established cycle times.
  • Coach, develop, and support team members through onboarding, training, performance management, and continuous feedback.
  • Establish clear priorities, balance workloads, and ensure strong execution in a fast-paced operational environment.
  • Ensure both teams consistently follow standard work, system processes, and internal controls.
  • Act as a Lean Champion to drive continuous improvement, waste reduction, root cause problem solving, and process standardization.
  • Support organizational initiatives and perform other duties or special projects as assigned.

Qualifications

  • Bachelor's degree or associate degree with 7+ years of relevant experience required.
  • 5+ years of experience in sourcing, purchasing, materials planning, retail operations, or a related function.
  • 3+ years of people leadership, supervisory, or team management experience preferred.
  • Experience in operations, inventory management, MRP/ERP systems, and Lean or Operational Excellence preferred.
  • Knowledge of retail network operations, service parts flow, and local purchasing processes preferred.
  • Experience with purchase orders, receipts, invoice reconciliation, GRNI, accounts payable, accounting, or finance-related processes preferred.
  • Demonstrated ability to lead teams in a fast-paced, execution-oriented environment.
  • Strong analytical, organizational, and problem-solving skills.
  • Strong communication and interpersonal skills with the ability to influence across functions.
  • Demonstrated project management and continuous improvement capabilities.
  • Proficiency in systems and tools used for purchasing, planning, reporting, and data analysis.
  • Familiarity with Lean tools, KPI management, and standard work development.

Success in this role will be measured by the ability to:
