Pivot North Architecture is a full-service architecture and interior design firm providing comprehensive, scalable design solutions for a diverse portfolio of residential, institutional, and commercial projects. As our firm continues to grow, we are excited to welcome a Front Desk & Project Support Specialist to our collaborative and design-focused team.
Position Summary
The Front Desk & Project Support Specialist plays an important role in supporting both the daily operations of the office and the success of our project teams. This position serves as the first point of contact for clients, consultants, and visitors while also providing administrative and project coordination support to our architectural staff.
We are seeking a highly organized, proactive, and personable individual who thrives in a fast-paced environment, communicates professionally, and enjoys balancing multiple responsibilities with attention to detail and a positive attitude.
Qualifications
To perform this role successfully, candidates should demonstrate the following qualifications, skills, and abilities. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Education & Experience
  • Associate degree or equivalent professional experience required; coursework or a degree in Business Administration or a related field is preferred.
  • Minimum of 3 years of recent administrative, project coordination, or office management experience, preferably within an architecture, engineering, or construction environment.
  • Strong knowledge of office procedures and standard office equipment.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent written and verbal communication skills with the ability to represent the firm professionally.
  • Strong organizational, problem-solving, and interpersonal skills.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Self-motivated, detail-oriented, and adaptable in a collaborative environment.
  • Familiarity with architectural or construction terminology and document management is a plus.
Key Responsibilities
  • Provide project and administrative support to architectural teams, including document preparation, data entry, filing, and coordination of project-related materials.
  • Assist with management of submittals, RFIs, ASIs, contract documents, change orders, amendments, and related documentation.
  • Maintain and organize digital and physical project files.
  • Schedule meetings, prepare agendas, record meeting minutes, and distribute project communications as needed.
  • Serve as the primary front desk contact by answering and directing phone calls, greeting visitors, and ensuring a welcoming office environment.
  • Coordinate conference room schedules and prepare meeting spaces for clients and internal teams.
  • Manage office hospitality, including organization of the client coffee bar and shared spaces.
  • Assist with travel coordination and other administrative tasks as needed.
  • Build and maintain positive relationships with clients, consultants, vendors, and team members.
  • Uphold the values of Pivot North Architecture through collaboration, integrity, professionalism, and quality work.
Work Environment
This position is based in our downtown Boise, Idaho office.
