Phone Associate information

What is a phone associate?

Phone Associates are professionals who handle inbound and outbound calls for a company, often serving as the first point of contact for customers. Their responsibilities typically include answering questions, providing information, resolving issues, and sometimes processing orders or scheduling appointments. Effective communication skills, patience, and problem-solving abilities are essential for this role. Phone Associates may work in call centers or remotely, depending on the employer.

What are the key skills and qualifications needed to thrive as a phone associate, and why are they important?

To thrive as a Phone Associate, strong verbal communication, active listening, and problem-solving skills are essential, often supported by a high school diploma or equivalent. Familiarity with call center software, customer relationship management (CRM) systems, and basic computer proficiency is typically required. Patience, professionalism, and the ability to remain calm under pressure are standout soft skills in this role. These competencies ensure efficient handling of customer inquiries, high satisfaction rates, and effective resolution of issues.

What are some common challenges faced by phone associates and how can they be managed effectively?

Phone Associates often encounter high call volumes and may need to handle challenging customer interactions. Managing stress and maintaining a positive, professional demeanor are crucial for success. Many companies provide support through training programs, scripts, and team leads who can assist with difficult situations. Building strong communication skills and learning to de-escalate tense conversations can help associates navigate these challenges and deliver excellent service.

About the Role

Deluxe Med Spa is looking for a Phone Sales Associate to manage inbound and outbound calls, convert leads into booked appointments, and make sure no inquiry goes unanswered. You'll be based primarily at our Brea location while supporting phone operations across multiple Deluxe sites — a good fit for someone who's organized, persuasive on the phone, and comfortable working in a fast-paced, multi-location environment.

This role also offers a path to advance into our Aesthetic Sales Consultant position for candidates who build a strong track record.

Responsibilities

  • Answer and manage inbound calls promptly and professionally
  • Follow up on missed calls, web inquiries, and leads without delay
  • Convert prospective clients into booked appointments through consultative phone sales
  • Coordinate scheduling across Deluxe locations using practice management software
  • Maintain accurate documentation of client interactions, follow-ups, and lead status
  • Collaborate with clinic managers and front desk teams to ensure a smooth client handoff
  • Track and report on lead volume, conversion rates, and call activity
  • Support outbound outreach for promotions, re-engagement campaigns, and appointment reminders

Requirements

  • Excellent English communication skills, written and spoken — required
  • Mandarin Chinese proficiency, written and spoken — strongly preferred
  • 1+ year of phone sales, customer service, or reception experience; med spa, aesthetics, or healthcare background preferred
  • Confident phone presence with strong sales instincts
  • Strong organizational skills and ability to manage high call and follow-up volume
  • Comfortable working across multiple locations and teams
  • Proficiency with scheduling or CRM software (Zenoti experience a plus)
  • On-site in Brea or Diamond Bar minimum 4 days/week
  • Available Monday - Friday

Growth Opportunity

Strong performers in this role have the opportunity to advance into our Aesthetic Sales Consultant position, which comes with higher earning potential and expanded client-facing responsibilities.

Compensation

  • $20–22/hr + Commission

Benefits

  • 401(k)
  • Health insurance
  • Paid time off
