Position Summary
The Office Administrator is responsible for supporting the General Manager and Executive Chef at the SoFi Center with the administrative, accounting, payroll, and compliance functions of the food and beverage team. This position plays an important role in helping maintain accurate financial and employee records, ensuring compliance with company policies and contractual obligations, and supporting key administrative processes that contribute to the efficient day-to-day operation of a fast-paced, multi-department hospitality venue. The Office Administrator will assist with payroll processing, basic accounting functions, financial and administrative recordkeeping, compliance tracking, and other general clerical responsibilities as assigned. The ideal candidate is highly organized, detail-oriented, dependable, and comfortable managing multiple priorities while maintaining confidentiality and accuracy.
 
This role will pay an hourly rate range of $20.00 - $22.00.

About the Venue

Oak View Group is the venue manager and food and beverage provider of the SoFi Center, a first-of-its-kind venue located in Palm Beach Gardens on the campus of Palm Beach State College. TGL presented by SoFi is a new golf league, combining advanced technology with teams of top players from the PGA TOUR for two-hour weekly competitions in prime time. Seven TGL teams representing seven different cities go head-to-head in a season-long competition at SoFi Center, a first-of-its-kind venue built specifically for TGL on the campus of Palm Beach State College. Matches air on ESPN and the ESPN app in the U.S. with every shot live and all the players mic'd up, bringing unprecedented access to the competition for golf fans.

Responsibilities
  • Provide administrative support to the General Manager and Executive Chef to facilitate the efficient day-to-day operation of the food and beverage team.
  • Coordinate with culinary, food and beverage, operations, and other departments to support successful event execution.
  • Participate in planning and operational meetings and assist with communicating relevant event and operational details to internal departments.
  • Maintain accurate financial, operational, payroll, vendor, and compliance records.
  • Assist with event documentation, calendars, meetings, and communication between departments.
  • Reconcile deposits, cash receipts, sales reports, and point-of-sale records.
  • Assist with weekly and monthly financial reporting, month-end closing, and account reconciliations.
  • Assist in preparing reports such as P&L statements, event recaps, labor reports, and revenue summaries.
  • Assist with payroll processing, payroll records, and department/event labor reports.
  • Maintain vendor and subcontractor agreements and required documentation, including COIs, W-9s, licenses, permits, and contracts.
  • Track employee training and compliance certifications as needed.
  • Maintain organized filing and document retention systems in accordance with company policies.
  • Assist with audits and ensure compliance with company policies and contractual requirements.
  • Perform other duties as assigned.
Qualifications
  • High school diploma or GED required. Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Previous accounting, finance, administrative, or hospitality experience preferred.
  • Basic understanding of accounting, payroll, and financial reporting.
  • Proficiency in Microsoft Office, especially Excel.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and use good judgment.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Professional and collaborative communication skills.
  • Ability to work weekdays, weekends, and varying shifts based on business and event needs.
