Overview

Now Hiring: Personal Assistant

Part-Time | Monday–Friday | Occasional Weekend Support

Salary based on experience

Position Overview

John Foley, Inc. is seeking a highly organized, proactive, and trustworthy Personal Assistant to support the owner and his wife with a wide range of personal responsibilities, with occasional support on the business side.

This is a hands-on role for someone who naturally stays one step ahead. The ideal candidate is tech-savvy, exceptionally organized, resourceful, and comfortable bringing structure to a busy, fast-moving environment. You should be someone who can look at a situation, anticipate what needs to happen next, and take care of it without always being asked.

The right person will be comfortable handling sensitive or confidential matters with patience, discretion, professionalism, and grace.

Key Responsibilities

Personal Support

  • Manage and coordinate personal appointments, schedules, reservations, and commitments
  • Help organize travel, errands, household-related tasks, and personal projects
  • Research and coordinate purchases, services, vendors, and special requests
  • Keep track of important dates, deadlines, follow-ups, and ongoing to-do items
  • Anticipate needs and proactively handle details before they become urgent
  • Help bring order and organization to competing priorities
  • Provide occasional weekend support when needed

Technology & Organization

  • Utilize computers, calendars, email, cloud-based tools, spreadsheets, and other technology confidently
  • Organize digital files, information, contacts, schedules, and records
  • Help streamline systems and processes to make day-to-day life more efficient
  • Be comfortable learning new technology and finding smart solutions independently

Light Business Support

  • Provide occasional administrative assistance related to the owner's business
  • Help coordinate communications, scheduling, documents, and follow-ups
  • Assist with special projects that cross between personal and business responsibilities
  • Maintain professionalism and confidentiality when handling business information

What We're Looking For

The ideal candidate is:

  • Highly organized and detail-oriented
  • Proactive and forward-thinking — you naturally anticipate what comes next
  • Tech-savvy with strong computer and organizational skills
  • A strong communicator who is comfortable interacting with a variety of people
  • Resourceful and solution-oriented — you don't get easily overwhelmed when things change
  • Able to make sense of chaos and create order and clarity
  • Calm, patient, and gracious when handling sensitive or stressful situations
  • Discreet and trustworthy with confidential personal and business information
  • Comfortable working independently and taking initiative
  • Flexible and adaptable in a role where priorities may shift
  • Professional, polished, dependable, and personable
  • Someone who takes pride in getting things done — and done well

The Right Fit

This position is ideal for someone who enjoys being the person behind the scenes who keeps everything moving. You don't need to have every answer, but you should know how to find the answer, solve the problem, communicate clearly, and follow through.

The successful candidate will be someone the owner and his wife can trust completely, knowing that details are being handled, priorities are being managed, and nothing important is falling through the cracks.

Schedule

Part-time, Monday–Friday, with flexibility based on the needs of the owner and his wife. Occasional weekend support may be requested.
