Job description

Title: House Manager & Personal Assistant
Location: Denver, CO 80209
Employment Type: Full-Time / 35-40 hours per week
Schedule: Monday - Friday / 10:00 AM - 5:00 PM or 11:00 AM - 6:00 PM (variable based on household needs). Some personal assistant tasks may be completed remotely.
Compensation: $42 per hour / W-2 employment
Start Date: ASAP
Requirements
  • Maintain a smoke-free environment.
  • Reliable personal vehicle and valid driver's license required; mileage reimbursement provided.
  • Fully vaccinated (all CDC-recommended vaccines, including COVID-19 and flu).
  • CPR and First Aid certified, or willing to obtain upon employment.
  • Fragrance-free or willing to avoid fragranced products while working.
  • Comfortable working in a diverse, inclusive, and nontraditional household. The family values respect, inclusivity, and affirming support for all members of the home.

About Our Family
We are a busy, active household in the Wash Park West neighborhood of Denver. The parent in the home is a practicing surgeon with a demanding and often unpredictable schedule, making dependable household support essential to keeping everything running smoothly. The household includes one young child (shared custody) and two beloved rescue dogs who bring a lot of heart and energy to the space. The child's co-parent lives just down the street, and together we share a nanny between both homes for routine childcare. Our primary home is a charming Victorian rental. We also share a mountain property that we use frequently, especially in summer.
When not working, spending quality time with family and the dogs is the priority. We travel often, both domestically and internationally. Between outdoor pursuits like rock climbing, skiing, snowkiting, and kiteboarding, there is always gear to manage, trips to prepare for, and logistics in motion.
As a nontraditional household, we value openness, inclusivity, mutual respect, and trust above all. We strive to create a home where every person feels welcomed, and we're looking for someone who genuinely shares those values. The right person will not just work for us, they will work alongside us as a calm, capable, and trusted partner who helps the household run seamlessly.
Who You Are / What We're Looking For
You are the kind of person who walks into a room and immediately sees what needs to happen and then handles it. You are exceptionally organized, self-directed, and operate several steps ahead. You do not need a to-do list handed to you; you create the to-do list and execute it. You are calm under pressure, low-ego, and genuinely service-oriented. You understand that the value you bring is not just in completing tasks, it is in removing the mental load so that the people you support can focus on what matters most to them.
You are comfortable and genuinely at ease working in a diverse, inclusive, and nontraditional household where respect for every individual is a foundational value. You approach different identities, family structures, parenting approaches, communication styles, and neurodiversity with professionalism and an open mind. You help create an environment where everyone feels supported, respected, and able to thrive. You understand what it means to serve as an ADHD accountability partner - not in a clinical sense, but in a grounded, organized, and consistent way. Personal or professional experience with neurodiverse individuals is a plus. You do not get frustrated when priorities shift or when things feel like they are "all over the place." You help anchor. You are happy to manage things like gear sorting, snow removal coordination, and occasional property walkthroughs. You enjoy being in a home with friendly dogs and small children.
You are reliable, resourceful, and genuinely enjoy bringing order and care to a home.
Key Responsibilities
Administrative & Personal Assistant Support
  • Serve as a proactive ADHD accountability partner, helping to manage deadlines, reminders, and follow-through.
  • Manage household and personal calendars, including coordination with nanny and service providers.
  • Provide a weekly executive briefing: a brief written summary of what was completed and what is coming up, paired with a short verbal check-in.
  • Track credentialing deadlines, healthcare appointments, and other administrative obligations.
  • Coordinate healthcare scheduling and provide medication reminders.
  • Plan and organize travel logistics, including packing support pre/post-trip.
  • Coordinate childcare schedules; arrange backup and after-hour babysitters as needed.
  • Manage and organize specialized outdoor gear for specific trips (e.g., prep climbing equipment or kite gear for a weekend excursion; sort, dry, and reorganize gear upon return). Coordinate gear maintenance and repairs.
Household Organization & Maintenance
  • Create and maintain household organization systems throughout the home.
  • Perform daily resets and prepare the home for professional cleaners.
  • Handle daily light tidying including dishes, surfaces, and vacuuming high-traffic areas.
  • Manage trash, recycling, Diaper Genie, and indoor plant care.
  • Change batteries, light bulbs, and smoke detectors as needed.
  • Coordinate donation drop-offs and assist with seasonal organizational projects.
  • Handle packing and unpacking for travel.
  • Perform occasional deep cleans (refrigerator, oven, baseboards) and refresh entry and mudroom areas.
  • Clean humidifiers and air purifiers regularly.
  • Manage seasonal tasks: change furnace air filters monthly, manage AC unit covers, oversee irrigation systems.
  • Coordinate and oversee snow removal.
  • Track household maintenance needs and coordinate landlord repairs as needed.
Inventory & Errands
  • Restock pantry, refrigerator, and all household supplies.
  • Manage running household supply lists and all household orders and subscriptions (Amazon, Costco, Target, etc.).
  • Handle returns, gift shopping, mail, and package management.
  • Break down boxes.
  • Source and maintain vegan cleaning and bathroom supplies throughout the home.
  • Run all household errands.
Meal Support
  • Execute Purple Carrot subscription meals weekly (2-3 meals per week).
  • Grocery shop for weekly items beyond the Purple Carrot subscription.
  • Keep child-friendly snacks and fresh produce stocked and accessible.
  • Follow vegan dietary preferences throughout all meal and snack preparation.
  • Maintain a clean and organized kitchen.
Laundry & Linens
  • Wash, fold, and organize all household laundry.
  • Maintain a tidy and well-stocked laundry area.
Pet Care
  • Feed and walk both dogs daily when they are in the home.
  • Administer medications and track heartworm prevention schedules.
  • Brush dogs' teeth as part of routine care.
  • Maintain pet supplies and records.
  • Schedule vet appointments.
  • Coordinate pet sitting as needed.
Vehicle Upkeep
  • Schedule maintenance for the family vehicle.
  • Ensure the family vehicle is fueled, clean, and organized daily.
  • Track registration and insurance renewal deadlines.
Vendor & Property Oversight
  • Oversee and coordinate all household service providers (cleaners, landscapers, dog waste removal, repair providers, etc.).
  • Research vendors, coordinate repairs, and obtain quotes as needed.
  • Manage outdoor spaces including the fenced backyard, front yard, and porch.
  • Ensure all products used throughout the home are vegan-compliant.
  • Identify and escalate repairs requiring landlord attention.
Estate-Level Oversight - Mountain Property (approximately 55 min from Denver)
  • Conduct regular property visits (visits scheduled with advance notice and within normal working hours).
  • Prepare the property for family visits: stock supplies, complete light housekeeping, and ensure the home is guest-ready.
  • Conduct routine walk-throughs and inspect for storm or wind damage.
  • Oversee home systems.
  • Coordinate repairs and manage ongoing property maintenance.
Family Support
  • Provide light backup childcare coverage in emergency situations until a babysitter or other backup can arrive.
  • Coordinate schedule changes with the shared nanny.
  • Assist with kid-related errands as needed.
