Your place in our story
The Permit Coordinator is responsible for managing residential permit submittals, tracking, and approvals by partnering with outsourced permit runners, trade partners, private providers, and regulatory agencies to ensure the timely issuance of permits and Certificates of Occupancy. This role plays a critical part in supporting construction timelines and scheduled closings through proactive coordination, issue resolution, and documentation management.
The position performs a wide variety of administrative and coordination functions within Construction Services and completes other related duties as assigned.
Here's how you'll contribute
  • Tracks permit submittals, corrections, pickups, and overall status with outsourced permit runners.
  • Track home closings to ensure all required documentation and approvals are received for timely Certificate of Occupancy issuance, preventing delays to scheduled closings.
  • Resolve issues from municipalities, architects, engineers and field staff.
  • Work closely with Sales Administrator on New Home contracts to request documentation needed for permit submittal.
  • Process and distribute color selections, change orders, and new home start packages to the Construction team; upload all documentation into BuildPro.
  • Maintain organized office records and filing systems.
  • Generate construction reports and maintain scheduling updates.
  • Communicate regularly with outsourced permit runners, private provider inspectors, construction superintendents and building departments as needed.
  • Provide support to trade partners on construction-related issues.
  • Create and maintain tracking logs and reporting tools.
  • Review, codes, and process all permit-related invoices.
  • Assist purchasing with contracts and other administrative responsibilities.

  • Coordinate setup of utility accounts, including FPL, TECO, and water services.
  • Establishes and maintains strong communication across all departments within Minto Communities USA.
  • Demonstrate a high level of professionalism in all interactions and responsibilities.
  • Provide cross-functional support within Product Production departments as needed.
  • Perform additional duties within the scope, spirit, and purpose of the role as assigned by management.

What you bring to the team
Education:Highschool Diploma or equivalent is required. College degree in relevant studies is an asset (i.e. Architecture, Construction, and/or Project Management).
Experience: A minimum of 3-5 years in construction industry.
