Job description

Patient Access Representative – Healthcare Scheduling – Worcester, MA

Sigma Systems is seeking an experienced Patient Access Representative to join the Revenue Cycle team at UMass in Worcester, MA. This is a full-time, onsite opportunity for candidates with strong healthcare scheduling, insurance verification, referrals, and prior authorization experience in a fast-paced ambulatory or specialty care environment.

This role is primarily phone-based and focuses on back-office patient scheduling, making it ideal for experienced Medical Schedulers, Scheduling Coordinators, Patient Access Representatives, and Referral Coordinators.

If you have experience with EPIC (or similar EMR), scheduling specialty appointments, insurance verification, and high-volume patient scheduling, we'd love to hear from you.

Key Responsibilities
  • Schedule routine, urgent, and follow-up patient appointments.
  • Coordinate appointments for specialty clinics, procedures, imaging, diagnostic testing, surgery, GI/endoscopy, and ancillary services.
  • Manage complex scheduling involving multiple providers and treatment areas.
  • Answer, screen, and route high-volume incoming calls professionally.
  • Verify patient demographics and insurance eligibility.
  • Obtain referrals, prior authorizations, and pre-certifications.
  • Collect co-payments and secure treatment and billing authorizations.
  • Update and maintain accurate patient information in EPIC or other EMR systems.
  • Provide patients with appointment instructions and procedure preparation information.
  • Review billing discrepancies and assist with corrections.
  • Prepare patient charts and documentation for provider visits.
  • Process prescription renewal requests within established guidelines.
  • Coordinate referrals for interpreter services, financial counseling, and social services.
  • Perform administrative duties including scanning, faxing, filing, data entry, spreadsheets, and correspondence.
  • Maintain HIPAA compliance and patient confidentiality at all times.
Required Qualifications
  • High School Diploma or equivalent required.
  • Associate's or Bachelor's degree preferred.
  • Minimum 3 years of healthcare scheduling experience.

  • Associate's or Bachelor's degree with at least 1 year of recent healthcare scheduling experience.
  • Experience scheduling patient appointments in a healthcare environment.
  • Insurance verification experience.
  • Experience obtaining referrals and prior authorizations.
  • Experience working in a high-volume phone environment.
