Job Summary

The Payroll Specialist (PS) is responsible for the accurate and timely processing of payroll for union employees, ensuring compliance with collective bargaining agreements (CBA’s), federal and state labour laws, and internal policies. This role requires strong attention to detail, knowledge of union rules and the ability to manage complex pay structures, including union benefits and reporting requirements.

Essential Duties & Responsibilities

Process Payroll

  • Process weekly payroll for union employees, ensuring accuracy of wages, overtime, shift differentials and premium pay.
  • Interpret and apply multiple collective bargaining agreements to weekly payroll processing.
  • Partner with Operations to validate timekeeping data and resolve timecard discrepancies.
  • Process terminations ensuring applicable state laws and regulations are being applied.
  • Reconcile payroll reports, identify discrepancies and resolve issues promptly.
  • Review new employee setup, ensuring proper craft/class, tax state, unemployment state, insurance state, local taxes, deductions/liabilities and employee leave codes.
  • Process rate changes, promotions, class changes ensuring proper approvals and supporting documentation.
  • Maintain and update union specific crafts and classes, rates and benefits & deductions.
  • Review, reconcile and remit monthly union reports to variance online reporting sites.
  • Prepare certified payroll reports.
  • Manage garnishments, levies and other payroll deductions in accordance with legal requirements.
  • Support audits by providing payroll documentation.
  • Maintain accurate employee records and ensure data integrity in payroll systems.
  • Ensure compliance with federal, state, and local wages and hour laws.
  • Assist with year-end processes.
Qualifications
  • BSc/BA in relevant field preferred, but not required
  • 3-4 years payroll processing experience, preferably with Union experience
  • Some Human Resources experience preferred
  • Knowledge of Vista Viewpoint is preferred
  • Good knowledge of MS Office; especially Excel
  • Ability to work with confidential information
  • Demonstrate an understanding of payroll taxes/certified payroll/union reporting
  • Ability to multi-task in a fast-paced work environment
  • Excellent customer service skills
Physical Demands

The physical demands described here are representative of those that must be met by a Payroll Specialist to successfully perform the essential functions of this job. The PS is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must be able to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment

Office-based, in a temperature-controlled environment. Typical working hours for the PS are generally Monday – Friday during normal business hours.
