Job description

The Payroll Specialist supports U.S. & Canadian group companies by providing payroll administration and employee payroll services within a high-volume shared services environment. This role is responsible for processing assigned payrolls, resolving payroll inquiries submitted through ServiceNow, and ensuring payroll accuracy, compliance, and exceptional customer service.
Responsibilities:
  • Process assigned multi-state payrolls accurately and timely within a high-volume shared services environment.
  • Review, analyze, validate, and reconcile employee data from HRIS and payroll systems to ensure payroll accuracy.
  • Process payroll transactions including new hires, terminations, pay changes, retroactive adjustments, bonuses, deductions, direct deposits, garnishments, tax updates, and benefit deductions.
  • Review, reconcile, and import payroll files including timekeeping, earnings, deductions, expense reimbursements, and other payroll interfaces.
  • Perform timecard validation and reconciliation to ensure accurate payroll processing.
  • Monitor payroll processing reports and proactively resolve discrepancies before payroll finalization.
  • Respond to payroll-related inquiries submitted through ServiceNow (AskHR) while meeting established service level agreements (SLAs).
  • Research, investigate, and resolve complex payroll issues by partnering with employees, managers, HR, Finance, Benefits, and third-party payroll providers.
  • Document case resolutions accurately within ServiceNow and maintain complete case documentation to support compliance and knowledge sharing.
  • Partner closely with the HR Shared Services Center (HRSSC) in Mexicali by providing payroll guidance, answering payroll-related questions, supporting case escalations, and enabling HRSSC to resolve payroll inquiries whenever appropriate.
  • Support knowledge transfer initiatives by assisting with payroll work instructions, knowledge articles, training sessions, and process documentation for the HRSSC team.
  • Process and reconcile wage garnishments, tax levies, child support orders, retirement deductions, benefit deductions, and other payroll-related adjustments.
  • Partners with HR, Finance, Benefits, Compensation, HRSSC, and third-party payroll providers to resolve payroll discrepancies and ensure accurate payroll processing.
  • Support payroll tax reconciliation activities, including review of taxable wages and quarterly and annual payroll tax filings prepared by third-party providers.
  • Participate in payroll activities related to merit increases, bonus processing, year-end processing, W-2 preparation, and regulatory reporting.
  • Support internal and external audits by preparing payroll documentation and reconciliation support.
  • Identify opportunities for continuous improvement and participate in payroll system testing, enhancements, implementations, and process optimization initiatives.
  • Maintain current knowledge of federal, state, and local payroll laws, company policies, payroll regulations, and best practices.
  • Develop and maintain payroll procedures, standard operating procedures (SOPs), work instructions, and knowledge documentation.
  • Perform other payroll-related duties and special projects as assigned

Requirements:
  • Bachelor's degree in related field
  • 3-5+ years of payroll experience (including high volume multi-state)
  • Experience using ADP WFN or Vantage
  • Experience with Microsoft Office tools, including Excel
