Job description

Specific Duties and Responsibilities:

      Payroll Administration, 401(k), and Benefits Management

  • Process and reconcile payroll registers, direct deposits, and check registers for all pay groups
  • Prepare and post GL entries; run and format GL/BI reports
  • Manage 401(k) reporting, match calculations, census files, annual audits, and Form 5500 filings
  • Process W-2s, review quarterly 941s, and manage payroll variance reports
  • Manage Ad-hoc reporting (Union, OSHA, etc)
  • Calculate vacation & personal time accruals, commission payouts, and shareholder medical imputed income

      Banking & Cash Management

  • Complete monthly bank reconciliations and organize banking statements for multiple entities
  • Monitor payroll accounts for discrepancies and address positive pay issues as needed

      Tax Compliance & Regulatory Filings

  • Prepare and file multi-state sales tax returns; handle audits and maintain tax rates in JDE
  • Coordinate OH CAT Tax filings and resolve sales tax notices
  • File IRS Form 2290 and manage FMCSA, NMFTA SCAC, UCR, and UIIA renewals
  • Complete NY HUT filings, IL mileage reporting, and coordinate vehicle registrations

      Corporate & Systems Administration

  • File annual corporate reports
  • Manage workers' compensation reporting and NYSIF disability filings
  • Maintain headcount files; set up new pay groups and register for SIT/SUI as needed
  • Update Payroll Software for rate/filing changes and manage Concur expense reimbursement schedules
