Job description

Office Manager

A great office manager has a clear view of the whole operation: the numbers, the people, the processes, and how they all come together to help the business perform at its best.

As office manager for Effective Hiring, you'll have that kind of visibility. You'll lead a team that includes job file coordinators, administrative assistants, receptionist/dispatchers, and accounting/HR administrators, while overseeing the financial, administrative, and operational processes that support the business.

From bookkeeping, cash flow, and payroll to staffing, compliance, team development, and performance reporting, you'll play a key role in keeping those functions running effectively and the office working well as a whole.

What we offer:

In addition to a starting salary of $70,000 annually, you can expect a robust benefits package including medical and 401K.

What you'll do:

โ€ข Lead the office team, including training, team meetings, performance reviews, and day-to-day management

โ€ข Oversee bookkeeping, accounts payable and receivable, cash flow, payroll, budgeting, and financial reporting

โ€ข Monitor divisional performance and key metrics, oversee staffing needs, and develop and maintain the office annual plan

โ€ข Manage national accounts and programs, subcontractor, employment, and risk-management documentation and compliance

โ€ข Coordinate office processes and communication across departments and serve as the subject matter expert for office systems and technology

โ€ข Support senior leadership with planning, reporting, performance, and other business priorities

What you bring:

โ€ข High school diploma or GED; college degree preferred

โ€ข Proficiency with Microsoft Office and QuickBooks or equivalent accounting software

โ€ข Strong bookkeeping and financial knowledge, including P&L statements, balance sheets, cash flow, and budgeting

โ€ข Experience leading and supervising office staff

โ€ข Strong communication skills and the ability to coordinate effectively across teams and departments

โ€ข Strong planning, organizational, and analytical skills

โ€ข Construction management experience preferred

โ€ข IICRC or Xactimate certifications preferred but not required

โ€ข Bilingual skills are a plus
