Position Summary:
The Payroll Supervisor oversees and coordinates RK Mechanical, Inc.’s multi-state, weekly in-house payroll process for 2,000+ employees using Dayforce. This role ensures payroll accuracy, compliance with federal, state, and local regulations, and oversight of certified payroll and prevailing wage requirements.The Payroll Supervisor provides leadership and support to payroll staff, collaborates with Operations, HR, and Finance teams, and drives payroll efficiency, reporting, audits, reconciliations, and continuous process improvement. This position requires a highly proactive and internally motivated payroll leader with advanced Dayforce/Ceridian expertise, exceptional attention to detail, and the ability to independently identify and resolve payroll and compliance issues in a fast-paced construction environment.
 
Primary Responsibilities:
Payroll Administration & Compliance
  • Supervise and coordinate weekly multi-state payroll processing for 2,000+ employees using Dayforce/Ceridian.
  • Review and approve payroll batches, adjustments, manual checks, payroll corrections, tax reporting, 401(k) contributions, GL reconciliations, and payroll balancing activities.
  • Ensure compliance with all federal, state, and local payroll regulations, including wage and hour laws, garnishments, prevailing wage requirements, and certified payroll compliance.
  • Oversee certified payroll reporting, WH-347 submissions, Davis-Bacon compliance, prevailing wage administration, and resolution of audit discrepancies or reporting issues.
  • Support and coordinate payroll-related audits including SUTA, workers’ compensation, 401(k), and Department of Labor audits.
Leadership & Process Improvement
  • Provide leadership, training, support, and workload coordination for payroll staff while ensuring payroll deadlines are consistently met.
  • Serve as a subject matter expert for payroll systems, policies, compliance, and payroll-related processes.
  • Proactively identify issues, anticipate operational needs, and implement process improvements, internal controls, and efficiencies.
  • Support employee development through coaching, cross-training, and performance feedback.
HRIS & Payroll Systems Administration
  • Maintain advanced knowledge of Dayforce/Ceridian payroll administration, reporting, troubleshooting, audits, employee maintenance, and process automation.
  • Oversee employee payroll and HRIS transactions including hires, rehires, transfers, promotions, wage changes, leave levels, apprentice classifications, and terminations.
  • Ensure payroll records, employee data, system access, and HRIS documentation remain accurate, secure, and compliant with company policies.
  • Support HRIS audits, data validation, system updates, and open enrollment activities.
Certified Payroll & Apprenticeship Administration
  • Oversee apprentice enrollment, RAPIDS/DOL administration, prevailing wage classifications, fringe schedules, and compliance tracking.
  • Maintain certified payroll reporting within systems such as LCP Tracker, eMars, eComply, and related prevailing wage platforms.
Reporting & Operational Support
  • Generate payroll reports, analytics, and reconciliations to support Finance, HR, and Operations leadership.
  • Research and resolve payroll discrepancies, timekeeping issues, employee inquiries, and job costing or phase coding concerns.
  • Maintain accurate payroll records and support continuous operational improvement initiatives.
  • Perform other duties as assigned.
Accountability
  • Comply with all company policies, procedures, and safety requirements.
  • Support and maintain all company safety and health programs and immediately report unsafe conditions.
 
Minimum Physical Requirements
  • While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear, and use hands and fingers to operate a computer, telephone, and office equipment.
  • Occasionally may need to reach, stoop, or kneel.
  • Specific vision abilities required include close vision due to computer work.
 
Qualifications
  • 5–7+ years of payroll experience required, including leadership or supervisory experience preferred.
  • High School diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred.
  • CPP (Certified Payroll Professional) certification preferred.
  • Experience with Certified Payroll, Davis-Bacon, and Prevailing Wage payroll required.
  • Experience with Dayforce/Ceridian with a demonstrated ability to utilize Dayforce/Ceridian to improve payroll accuracy and payroll compliance management.
  • Experience with Viewpoint and/or Great Plains preferred.
  • Strong understanding of payroll tax regulations, wage and hour laws, and multi-state payroll practices.
  • Demonstrated leadership, team management, and employee development skills.
  • Ability to work effectively in a high-volume, fast-paced environment while meeting strict deadlines.
  • Excellent written and verbal communication skills.
  • Strong analytical, problem-solving, and organizational skills.
  • Advanced Microsoft Excel skills required.
  • Construction industry experience preferred.
  • Bilingual in Spanish and English preferred.
 
Supervisor Career Level
  • Provides direct supervision and leadership to payroll staff.
  • Oversees daily payroll operations and ensures accuracy, compliance, and timely completion of payroll functions.
