The main difference is that Payroll Assistant Remote typically works entirely from home with a focus on payroll data management, while Payroll Clerk may work in an office or remotely, with similar responsibilities but often more clerical tasks. What are the key skills and qualifications needed to thrive as a Payroll Assistant Remote, and why are they important?

To thrive as a Payroll Assistant Remote, you need accuracy in data entry, understanding of payroll processes, and familiarity with regulations, often supported by a degree in accounting or related experience. Proficiency with payroll software like ADP, QuickBooks, or Paychex, as well as Microsoft Excel, is typically required. Strong organizational skills, attention to detail, and effective remote communication are critical soft skills for this role. These abilities ensure timely and error-free payroll processing, compliance with laws, and smooth coordination within distributed teams.

What are some common challenges faced by remote Payroll Assistants, and how can they be managed effectively?

Remote Payroll Assistants often encounter challenges such as maintaining clear communication with HR and finance teams, ensuring data security, and managing time zone differences when coordinating with colleagues or addressing employee inquiries. To manage these challenges, it's important to establish regular check-ins with the team, use secure payroll software, and set clear boundaries for work hours. Proactively seeking clarification and documenting payroll processes can also help ensure accuracy and efficiency while working remotely.

What does a Payroll Assistant Remote do?

A Payroll Assistant Remote is responsible for supporting payroll processes from a remote location. Their main duties include collecting and verifying timesheets, entering payroll data, assisting with paycheck distribution, and addressing employee payroll questions. They work with HR and finance teams to ensure that employees are paid accurately and on time. Remote Payroll Assistants use specialized software to manage payroll tasks and maintain confidentiality while working outside of a traditional office setting.

Job description

Payroll Manager

Our client is solving one of the biggest challenges in B2B marketing: proving ROI. Our platform gives marketers the insights they need to make smarter decisions, drive revenue, and maximize the value of every customer interaction.

We are a remote-first company with a mission-driven culture, ambitious growth goals, and a commitment to helping our customers succeed. If you're passionate about operational excellence, love building scalable processes, and enjoy making a meaningful impact, we'd love to meet you.

About the Opportunity

We're looking for an experienced Payroll Manager to lead and optimize payroll operations across our growing workforce. In this highly visible role, you'll own end-to-end payroll processing, compliance, reporting, and process improvement initiatives while partnering closely with Finance, HR, FP&A, and leadership.

This is more than a payroll processing role. You'll serve as a trusted subject matter expert, helping shape scalable systems and controls that support company growth while ensuring an exceptional employee experience.

Reporting to the CFO, you'll play a key role in maintaining payroll accuracy, strengthening compliance, and improving operational efficiency across the organization.

What You'll Do Payroll Operations & Compliance
  • Own full-cycle payroll processing for multi-state employees and international contractors.
  • Ensure accurate and timely payment of salaries, hourly wages, commissions, bonuses, reimbursements, deductions, retroactive pay, and other payroll transactions.
  • Maintain compliance with federal, state, local, and applicable international payroll regulations.
  • Audit payroll inputs including timecards, PTO, leaves, overtime, compensation changes, benefits deductions, tax updates, and garnishments.
  • Lead year-end payroll activities including W-2 processing, payroll tax filings, ACA reporting, compliance filings, and regulatory reporting.
Financial Reporting & Analysis
  • Reconcile payroll-related general ledger accounts.
  • Support month-end, quarter-end, and year-end close activities.
  • Prepare recurring and ad hoc payroll reports for Finance, HR, FP&A, and executive leadership.
  • Partner with Accounting and FP&A on headcount reporting, payroll expense analysis, budget-to-actual comparisons, and workforce planning initiatives.
Process Improvement & Systems Optimization
  • Drive payroll process improvements and strengthen internal controls.
  • Maintain audit-ready documentation and ensure compliance with company policies and regulatory requirements.
  • Troubleshoot payroll system issues and collaborate with internal teams and external vendors on enhancements.
  • Support implementation of new systems, automation opportunities, and special projects.
  • Act as the company's go-to expert on payroll systems, processes, and best practices.
Employee Experience
  • Deliver exceptional support when responding to employee payroll questions.
  • Handle sensitive information with professionalism, confidentiality, and accuracy.
  • Help create a seamless, positive payroll experience for all team members.
What We're Looking For Required Qualifications
  • 5+ years of progressive payroll, finance operations, or related experience.
  • Demonstrated ownership of full-cycle payroll processing.
  • Strong knowledge of payroll compliance, tax regulations, controls, and payroll best practices.
  • Experience processing multi-state payroll; international payroll or contractor experience is a plus.
  • Working knowledge of payroll accounting, reconciliations, journal entries, and close processes.
  • Advanced spreadsheet and reporting skills.
  • Exceptional attention to detail and organizational skills.
  • Strong communication and cross-functional collaboration abilities.
  • Ability to manage competing priorities in a fast-paced environment.
  • Experience handling confidential information with discretion and professionalism.
  • Self-starter who thrives with autonomy and enjoys partnering with senior leadership.
Preferred Qualifications
  • Experience with Rippling.
  • Experience supporting global or distributed teams.
  • Background in high-growth, remote-first organizations.
Why You'll Love Working as a Payroll Manager

We believe great people do their best work when they are supported, trusted, and empowered.

Benefits & Perks
  • Competitive salary plus equity package
  • 401(k) with company match
  • Medical, dental, vision, life, and long-term disability coverage
