Staff Management Group is seeking a Payroll Coordinator to join our corporate team in Edison, NJ. For more than 30 years, we have been providing workforce solutions throughout New Jersey, and we're looking for someone who takes pride in delivering accurate payroll while maintaining exceptional customer service.

In this role, you'll collaborate with branch teams across 18+ offices to ensure payroll is processed accurately, timely, and in compliance with company policies and applicable federal and New Jersey regulations. You'll play a critical role in supporting our employees, clients, and payroll operations.

Essential Responsibilities

As our Payroll Coordinator, you will:

  • Process weekly payroll accurately and on schedule while ensuring compliance with company policies and applicable wage and hour laws.
  • Enter, review, and validate employee timecards for accuracy and completeness.
  • Collect, review, and summarize timekeeping information for payroll processing.
  • Process payroll transactions including wages, overtime, garnishments, taxes, direct deposits, pay cards, and other payroll deductions.
  • Troubleshoot employee timekeeping issues, identify missing or inaccurate time records, and follow up with branch personnel and clients for resolution.
  • Verify client approval of timecards, overtime, and payroll adjustments before payroll processing.
  • Review payroll pre-processing reports and resolve discrepancies prior to final payroll submission.
  • Ensure bill rates, pay rates, overtime calculations, and special pay arrangements are applied accurately.
  • Obtain required client approvals before generating invoices.
  • Prepare accurate weekly client invoices within established deadlines.
  • Research, investigate, and resolve payroll and billing discrepancies.
  • Conduct routine payroll and billing audits to ensure accuracy and compliance.
  • Recommend process improvements that increase payroll accuracy and efficiency.
  • Maintain confidentiality of employee payroll information.
  • Provide exceptional customer service to employees, branch teams, and clients.
Qualifications
  • Minimum of 2 years of payroll, accounting, or related administrative experience.
  • Strong working knowledge of Microsoft 365, particularly Microsoft Excel.
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to manage multiple priorities while meeting strict weekly deadlines.
  • Strong attention to detail with a high degree of accuracy.
  • Excellent written and verbal communication skills.
  • Ability to work independently while collaborating with multiple departments.
  • Experience with TempWorks is a plus.
  • Staffing industry experience is preferred but not required.
  • Knowledge of payroll compliance, wage and hour regulations, and New Jersey payroll practices is highly desirable.
